About the Role

Are you highly organised and enjoy providing effective support services to a team? Then we want to hear from you!

We are seeking an experienced Business Support Officer to join our Portland Aluminium team. Working Monday to Friday, this is a full-time role. You will be accountable for providing administrative, organisational and information management support to internal and external customers adding value to the business by delivering a cost effective, prompt, reliable and timely support service.

Responsibilities include:

  • Responsible for the coordination and management of documents within the document control system, ensuring accuracy, accessibility, and compliance with organisational standards.

  • Participates in training sessions and meetings to gain a comprehensive understanding of plant operations and procedures.

  • Delivers project management and audit support utilising appropriate software tools and office equipment.

  • Prepares accurate and timely reports, presentations, meeting agendas, and minutes.

  • Maintains precise and up-to-date records, including safety documentation, inductions, and training logs.

  • Facilitates effective communication with internal and external stakeholders, including message handling and mail distribution.

  • Organises and coordinates special events in a professional manner, ensuring alignment with business objectives.

  • Integrates ABS terminology and methodologies into reporting and operational processes.

  • Manages administrative costs by overseeing stationery and catering supplies within budgetary constraints.

  • Provides administrative support to the ISO accreditation process, assisting with documentation, record-keeping, and compliance tracking.

  • Performs ad hoc administrative tasks to support departmental needs and ensure smooth day-to-day operations.

  • Coordinates departmental travel requests, including booking arrangements, preparing itineraries, and ensuring compliance with travel policies.

What you can bring to the role

  • Demonstrated experience in providing high-level administrative support within an office environment, with strong organisational skills and the ability to manage competing priorities effectively.

  • Proficient in Microsoft Office applications, with a proven ability to quickly learn and adapt to new systems and technologies.

  • Excellent verbal and written communication skills, with a focus on professionalism and effectiveness

  • Highly adaptable and capable of performing well under pressure in dynamic work environments.

  • Maintains discretion and professionalism when handling sensitive or confidential information.

  • Demonstrates initiative by identifying opportunities for process improvement and proactively addressing administrative challenges.

  • Friendly, approachable, and collaborative, with a strong ability to work effectively both independently and as part of a team.

About the Location

Our Portland Smelter is a joint venture between Alcoa of Australia (55%), CITIC (22.5%) and Marubeni Aluminium Australia (22.5%).
