Membership Coordinator in the Education & Membership Department

The Membership Coordinator is a great opportunity for a rising association professional to join a collaborative team and make an impact on two of the critical functions of the association; education and membership. The Membership Coordinator supports and administers all member services functions. This position works closely with the Sr. Manager of Membership and Professional Development to implement AIPLA recruitment, renewal and retention efforts as well as administer member benefit programs and works closely with the Professional Development Coordinator. Typical daily responsibilities include, but are not limited to, responding to member inquiries received by telephone, email, or through the website; processing of information and payments through Abilia's NetForum; and maintaining accurate member data. The Membership Coordinator also provides staff support for various AIPLA meetings and events. The position also supports the Member Services department by serving as the primary staff contact for our Corporate Subscription members and our international chapter (AIPPI-US) members.

Essential Duties and Responsibilities

Membership Processing & Member Services Support

  • Serve as the primary contact for all membership inquiries and coordinate appropriate responses in a timely, organized and efficient manner.
  • Process and input data for new member applications and create new member profile and billing record. Contact prospective members if application has missing information or payment is not included
  • Manage new member lists and new member onboarding efforts.
  • Maintain integrity of AIPLA membership database; regularly update contact information for individuals and employers/organizations. Note and correct, as able, returned email and mailed communications. Re-send email and mail as appropriate. Merge duplicate member records as found.
  • Facilitate group billing preparation as part of the annual renewal process. Assist Sr. Manager of Membership and Professional Development and IT Manager with renewal queries and the distribution of member renewal notices and invoices. Coordinate Corporate Subscriptions with the CLE Department.
  • Work with AIPLA Administrative Coordinator to fulfill publication orders, as needed.
  • Manage AIPPI-US membership, renewal payments, group billing, and corporate subscription programs.

Membership Benefits Support

  • Coordinate law student resource outreach and marketing for student competitions, and handle the submission receipts, and reviewer assignments specifically for the Robert C. Watson Award.
  • Serve as the primary contact for AIPLA's INNOVATE online publication, coordinating receipt of member submissions and working with the review committee to facilitate review and recommendation for publication.
  • Coordinate and maintain AIPLA Affinity Program; researching and reaching out to possible affinity partners for program inclusion. Update website with new partner/program information as needed.

Membership Marketing Support

  • Assist in monitoring and responding to inquiries through AIPLA's LinkedIn group.
  • Work with the Sr. Manager of Membership and Professional Development and Marketing & Communications Manager to implement social media plan and posts.
  • Assist Sr. Manager of Membership and Professional Development with in-house member recruitment and marketing efforts.

Meetings Support

  • Assist with set-up and on-site registration as required at up to three conference per year.
  • Staff the AIPLA Membership/CLE Booth as needed.
  • Represent AIPLA staff at the New-Member/First-Time Attendee Reception at AIPLA stated meetings, if needed.

Other Duties

  • File, copy, and ship materials as necessary.
  • Cover the organization's main phones during lunch hours
  • Other duties as assigned.

This position requires a highly organized, detail-oriented, enthusiastic and flexible individual who is capable of handling multiple projects at the same time.

Candidates must be comfortable in a fast-paced environment, have demonstrated customer service experience, and strong written and verbal communication skills. They must be able to work both independently and as part of a team and be able to manage priorities and time wisely. Must have ability to travel overnight for up to 3 conferences per year. 2-4 years of association experience preferred. Database management (CRM) experience essential. Experience with of MS Office, especially Excel and Outlook required. Desire to improve processes strongly desired.
