Summary of Position:
The Patient Access Supervisor is responsible for the supervision of the hospital's patient access areas for Inpatient and Outpatient as well as the Authorization Unit. Duties include guidance and coverage for employees, monitoring of Quality Assurance measures, the orientation of new employees and oversight in ongoing staff training. This position also gives guidance to physician offices in both registration and authorization. The goal of this position is to ensure high-quality service for patients and accuracy of information affecting both pre and post-visit services.
Qualifications
Education:
- High school diploma or GED required
Experience:
- Minimum of three years' experience in hospital registration, scheduling, authorizations, and revenue cycle processes.
- Minimum of three years' experience working with all healthcare insurances.
- Minimum three years' experience in a previous supervisory/management position preferred.
- Proficient experience in computer typing and literacy.
- Must have a minimum of three years' experience of Epic (or other EHR) registration, in ADT, Candace, and referrals.

- Must be able to work in a stressful, high paced environment and can take the appropriate action. Has critical thinking skills, decisive judgment and the ability to work with minimal supervision.
- Ability to prioritize tasks, organizing and filing, professional phone etiquette, strong customer service skills, and strong communication skills.
- Interpersonal and problem-solving skills necessary to interact with physicians, employed non-physician staff, patients, hospital leadership, and staff, as well as consultants and vendors.
- Demonstrated leadership through results achieved and accomplishments attained in previous positions and/or organizations.
- Ability to facilitate and lead a multidisciplinary team incorporating team building skills for the successful implementation of strategic goals and objections, in conjunction with relevant hospital mission goals and objectives.
- Knowledge of Human Resource functions including labor laws, recruitment and retention practices and organizational development.
- Knowledge of compliance with patient safety standards.
- Working knowledge of registration and billing regulatory requirements including EMTALA.
- Must be able to communicate in English effectively; Bilingual abilities preferred.
Certifications/Licensure:
- Current CPR/BLS certification by the American Heart Association (BLS for the Healthcare Provider) or ability to obtain prior to start date.
- Completion of Medical Terminology course, or willingness to a complete course within six months, or sufficient previous experience in a healthcare environment to enable incumbent to be able to read and understand common medical terms preferred

Essential Functions
- Provide consistently exceptional care at all times.
- Direct oversight of daily operations of their responsible departments including ED Patient Access, Barton Authorization Department, Tahoe Orthopedic Authorization Department, Admitting, and Radiology Scheduling Coordinators.
- Promotes a strong, productive team environment; is a role model; creates a team climate characterized by honesty, trust, and open communication. Can guide lead staff and frontline staff to ensure optimal efficiency.
- Has working knowledge of each job role and provides coverage in each job function as needed.
- Ensures accurate and timely distribution of schedules, completion of payroll, requests for paid time off and all other scheduling needs of staff and department.
- Attends meetings as needed as it relates to the operational improvement of departments.
- Assists manager with development and maintenance of policy and procedures.
- In the absence of the manager, acts on his/her behalf in all areas of operation and interpersonal issues; assists as needed for staff shortages.
- Coordinates and ensures adherence to financial and registration policies affecting the Revenue Cycle.
- Maintains open communication with various departments.
- Oversees cost estimates, the collection of deductibles, copays, and deposits.
- Tracks POS collections and goal achievement.
- Works closely with manager for recruitment, hiring, assists in training of new personnel, issues related employee performance, and implementation of new processes.
- Trains all appropriate Barton staff on First Comply to ensure Medicare ABN guidelines are being met. Instructs and trains Patient Access Reps regarding errors found during QA process, the cost estimate workflow process using Clear IQ, and on confidential minor registrations.
- Trains all appropriate Barton staff, hospital wide, on insurance allocation and requirements and serves as a support role and resource.
- Works with the call center phone system to ensure department benchmarks are being met.
- Ensures applicable Meaningful Use and PCMH quality standards are being met.
- Provides IT support and submits Workfront tickets for Epic ADT and referral issues. Serves as the IT liaison and provides business support for Trace and related products.
- Ensures all outpatient hospital services are authorized prior to services being rendered.
- Is the support liaison for all affiliated Barton authorization departments and referral staff.
- Responds to the needs of the department by performing other duties, as necessary.
