Operations & Events Manager: Foundation

 

 

SALARY: $73,746.36 - $77,209.25

 

LOCATION:Lynnwood, Washington

 

Description:

Reporting to the Executive Director and working collaboratively with Foundation staff, college leadership, and community stakeholders, the Operations & Events Manager provides professional proactive systems and operational support and event project management for the Foundation. The Operations & Events Manager oversees key functions of Foundation operations, donor relations, and event planning. The role combines high-level project coordination with strategic implementation, including organizing multiple large-scale fundraising events, board and donor engagement efforts, and administrative operations. This position supervises student staff, event interns, and coordinates volunteers. The Operations & Events Manager implements systems to improve team efficiency, and works closely with staff to ensure effective support for developing communications, managing software platforms, and ensuring smooth execution of both internal and public-facing initiatives. This role supports the Executive Director in serving as liaison between departments, advancing the Foundation¿s mission through proactive leadership, and sustaining operational excellence.

 

This is an exempt position that reports to the Executive Director of The Foundation.

Responsibilities include, but are not limited to:
  • Manages the creation and implementation of special events. This includes, but is not limited to the INSPIRE Gala and Triton Heroes events.
  • INSPIRE and Triton Heroes management includes, but not limited to: project management; budgeting, strategy and sponsorships in coordination with Executive Director and Development Director; logistics including procurement, auction, ticketing, licensing, volunteer and software;  communications, website,  graphics and print materials in coordination with the Marketing Department.
  • Project management of secondary and tertiary fundraising events including, but not limited to:  Donor, Campaign and Board Events.
  • Oversee Foundation hospitality and planning efforts in cross-campus collaborative events including, but not limited to Commencement, Building Community Day, and various outreach efforts.
  • Assists in increasing organizational efficiency in financial accountability, ensuring donated funds are managed correctly and according to donor expectations. Work towards building a collaborative set of processes among all Foundation staff, support and assist staff to be responsible stewards and establish trusting relationships with our donors.
  • Assists in system management of our CRM software, Bloomerang, and strengthening process flows, data hygiene, and reporting.
  • Collaborate with the Executive Director and Assistant Director of Development to develop and implement a comprehensive, year-round fundraising strategy. This includes creating a detailed communication plan that outlines donor engagement touchpoints, timelines, and messaging to drive consistent support throughout the year. This can include but is not limited to communication and graphics for: direct mail and email campaigns, monthly Board E-News, Quarterly E-News, Annual Impact Report, newsletters, flyers, invitations, Social Media posts, and Holiday Messages .
  • Maintenance and updates of Foundation Website including initiative to update all documents and links to accessibility guidelines.
  • Oversee and manage hiring, onboarding, and management of the student staff, event interns, and volunteers. Ensure efficient operations, provide training and support, and foster a welcoming environment for visitors, donors, and students alike. Work with Human Resources, Work Study office, and Hospitality division  to ensure ongoing compliance with all work study and internship policies.
  • Vendor Management: maintain documents, contracts and relationships for renewals and subscriptions.
  • Demonstrates a `can do¿ attitude and is proactive in solving problems with a strong service orientation both internally, with colleagues/co-workers, team leaders, and external constituents.
  • Support the Executive Director and Board Leadership team as needed.
  • Operational support of Board Stewardship processes. Schedules and supports Board and committee meetings as well as a range of other periodic meetings, including identifying available meeting times among participants, developing or working with the Executive Director to set agendas and meeting materials, preparing presentations, taking and drafting timely final meeting minutes, arranging refreshments and room set-up for meetings, and assuring that all meeting needs are met.
  • Organize and maintain the organization¿s legal documents, such as Articles of Incorporation, Bylaws, Policies, Board, and committee minutes.
  • Support the  Executive Director in preparing monthly reports for the College Board of Trustees, including soliciting input from staff colleagues and editing and refining report information to highlight/promote the Foundation¿s accomplishments.
  • Other duties as assigned. 

 

REQUIRED QUALIFICATIONS:
  • Bachelor's degree from an accredited college or university and/or experience in the field of  OR equivalent combination of education and work experience
  • Two to four years of experience in event production, preferably non-profit fundraising events
  • Two years in an administrative or program supervision/management position, or an equivalent combination of education and experience is required
  • Additionally, ability to function effectively using varied technology platforms, including but not limited to Google Workspace, Microsoft Office suite, Bloomerang, or other CRM systems
  • Ability to work with donors, community partners, volunteers, campus staff, and students. 
  • Ability to effectively organize and motivate volunteers. 

 

PHYSICAL WORK ENVIRONMENT:

Work is typically performed in an office setting and onsite/in-person. Recurring early/late hours (weekend/early morning/evening meetings).  This position requires the ability to drive and use of a personal vehicle. The ability to make sound judgments is essential.  The ability to sit at a desk/computer station, bend, stoop, walk, and generally move around the office to consult with others, work within a busy environment and remain focused on tasks. Inventory management requires some lifting and moving of objects up to 30lbs. Excellent communication skills are essential. This includes the ability to speak clearly and fully comprehend written and spoken English and will include communication with people for whom English is not their first language. This also includes the ability to produce clearly written documents. Those who are multilingual are strongly encouraged to apply. 

 

 

COMPENSATION:   

Salary is $73,746.36 - $77,209.25 and is based on the Edmonds College administrative/exempt salary schedule, plus a full state benefits package, which includes tuition waivers for college classes, medical, dental, retirement options and more. Vacation and leave package includes 12 sick days per year, 11 scheduled holidays, 1 personal holiday, and 24 vacation leave days per year.

 

WORK SCHEDULE:

Monday through Friday, 8:00 a.m. - 5:00 p.m., including some evenings and weekends.

 

FLSA Status:

The position is an exempt position under the Fair Labor Standards Act requirements.
