THE COLLEGE

 

Located in the northwest corner of the United States, Peninsula College is nestled in the foothills of the Olympic Mountains. The main campus in Port Angeles, Washington, overlooks the Strait of Juan de Fuca and the nearby city of Victoria, British Columbia, and has easy access to the Pacific Ocean, Olympic National Park, and Seattle. Port Angeles is two hours from Seattle and a one-hour ferry ride to Victoria, Canada. The College is honored to serve six sovereign American Indian nations in the region: Jamestown S'Klallam, Lower Elwha Klallam, Quileute, Makah, Hoh, and Port Gamble S'Klallam.

 

The College is honored to have strong relationships with these six federally recognized Tribes in the College's service district. The College is home to Longhouse of Learning. It is the first Longhouse in the nation to be built on a community College campus. The College offers transferable Indigenous language courses in Klallam/S'Klallam, Makah and Quileute and Hoh languages. Instructional programs include a Tribal Homeland Security & Emergency Managment certificate, and an Integrated Indigenous Studies transfer pathway. THE POSITION

 

The Program Specialist 3 for Mobile Programs provides advanced administrative and operational support for Peninsula Colleges mobile workforce training initiatives, which deliver hands-on instruction to communities throughout the North Olympic Peninsula. Supporting the Associate Dean of Mobile Programs, this role serves as a central administrative hub for coordinating schedules, logistics, purchasing, records management, and internal communication that keep mobile training units ready and operational across multiple locations. The position operates in a fast-moving, evolving environment where strong organization, adaptability, and sound judgment are essential to supporting successful program delivery within established policies and procedures.

 

ESSENTIAL FUNCTIONS: 

  • Provide advanced administrative support to the Associate Dean of Mobile Programs, including calendar management, meeting coordination, preparation of materials, follow-up, and documentation.
  • Draft, format, and maintain correspondence, reports, summaries, and other administrative documents.
  • Maintain organized electronic and physical records in compliance with institutional and grant requirements.

Operational & Logistics Coordination

  • Coordinate complex scheduling and logistics related to mobile training units, including transportation schedules, site readiness coordination, and equipment movement.
  • Assist with purchasing coordination by preparing requisitions, tracking orders, maintaining documentation, and coordinating with Purchasing and vendors.
  • Track inventory and supplies related to mobile programs and assist with equipment coordination and asset documentation.

Cross-Department & Partner Coordination

  • Serve as a central administrative point of contact between mobile programs and internal departments such as Facilities, IT, Purchasing, Instruction, and Finance.
  • Support coordination with external partners and employers by assisting with meeting logistics, information sharing, and documentation.
  • Ensure timely and accurate communication to support operational continuity.

Data, Records & Reporting Support

  • Collect, organize, and maintain program-level and operational data to support reporting, audits, and evaluation activities.
  • Assist with preparation of grant-related documentation and reports by compiling data, records, and supporting materials.
  • Monitor deadlines and documentation requirements to ensure timely submission and compliance.

Process & Workflow Support

  • Assist in documenting and refining administrative and operational workflows as mobile programs evolve.
  • Identify opportunities for administrative process improvements and communicate recommendations to leadership.
  • Support consistent implementation of established procedures across mobile program activities.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Advanced administrative and organizational skills.
  • Ability to coordinate complex schedules, logistics, and documentation across multiple stakeholders.
  • Strong written and verbal communication skills.
  • Proficiency with office software, data tracking systems, and record-keeping tools.
  • Ability to exercise judgment, prioritize work, and manage multiple deadlines.
  • Ability to work independently while supporting a leadership role.
  • Ability to travel occasionally.

REQUIRED PHYSICAL ABILITIES:

  • Work is performed in an office environment and may require standing and/or sitting and computer data entry for extended periods of time.
  • Lifting up to 40 pounds may be required on an infrequent basis.

REQUIRED EDUCATION OR CERTIFICATES:

  • Associate degree or equivalent experience
  • Skilled in MS Office
