Position Summary  

Bellevue College is seeking qualified candidates to fill two (2) vacancies for the Program Specialist 2 position. The Program Specialists will support operations and instruction in the HSEWI division, including specialized assistance for the following departments: Healthcare Management & Leadership, Radiation & Imaging Sciences and Radiation Therapy. Responsibilities include planning, advising, admissions, enrollment management, and marketing & outreach. The successful candidate must be available to work Monday through Friday, with a minimum of three days on-site.

Pay, Benefits & Work Schedule  

Pay rate: $21.98/hour - $29.36/hour

The successful candidate is expected to work 20 hours per week. This position typically assigned as needed on a quarterly basis, with no expectation of continued employment beyond the current appointment. 

The temporary hourly employment is limited to the earlier of 1,050 hours or 12 consecutive months beginning from the original date of hire. Per WAC 357-04-045, following 1,050 hours or 12 consecutive months, an individual is not eligible for re-employment at Bellevue College in another temporary part-time hourly position. Temporary hourly employees who work more than three hundred fifty (350) hours in a twelve consecutive month period may be subject to provisions of one the collective bargaining agreements covering Classified employees at Bellevue College.  

This position is expected to NOT be eligible for benefits because eligibility is limited only to employees working at least an average of 80 hours in eligible employment for more than 6 consecutive months and at least 8 hours a month. Eligible positions are eligible for certain benefits.

About the Department  

The Health Sciences, Education and Wellness Institute (HSEWI) of Bellevue College strives for excellence through our highly competent faculty and staff as well as through our enriched curriculum. HSEWI is composed of fourteen unique programs that address critical workforce needs in the region and nation. Each program focuses on providing education and training for professions in healthcare, education, and wellness.

Essential Functions  

Advising

  • Guide prospective and current students by providing them with accurate information regarding each program, admission process, registration procedures, prerequisites, financial aid, and student services.
  • Meet with students in person, via phone, online, scheduled or drop-in appointments and respond to student emails.
  • Create, maintain and update educational plans for current students in TargetX.
  • Coordinate with Evaluations on course substitutions, non-traditional credit forms, transfer credit reviews and graduation applications.
  • Assist students in navigating various program, Division and campus policies and procedures
     

Admissions

  • Assist students with admissions to HSEWI programs as well as general college admission
  • Answer questions related to the selective admission processes for HSEWI programs
  • Prepare and process program applications based on the number of admit cycles determined by each program within HSEWI
  • Review transcripts to verify program eligibility as needed. Coordinate with evaluations department when necessary to assist in credit review process. 
  • Communicate program requirements and admissions decisions to all applicants.
  • Compile and review files with required documentation for accepted students
  • Submit accepted students to Student Affairs departments on a cyclical basis.

Enrollment Management

  • Monitor student registration activities for programs within HSEWI
  • Review and update projection queries and student education plans 
  • Verify class rosters for billing related to enrollments
  • Update and distribute quarterly registration emails
  • Monitor student retention and report to the Program Chair/Director as needed
  • Generate reports to review program completion and support students with course verification and/or applying for graduation
  • Create and distribute class permission codes 
     

Marketing & Outreach

  • Collaborate with Program Chair/Director to implement annual marketing and recruitment plans
  • Create, develop, compile and write communications and promotional literature for distribution (i.e., flyers, posters, brochures, website etc.)
  • Work to create and develop methods of advertising and community outreach based on target audience of each program
  • Manage and maintain program social media platforms (i.e., Facebook, Twitter, LinkedIn, etc.) according to college and division standards
  • Generate visually compelling and shareable social media content across various platforms
  • Collaborate with other campus departments to organize events and disseminate information about programs
  • Support HSEWI Academic Advisor in participating in Campus outreach events.

Perform other duties as assigned
 

Minimum Qualifications  
  • Bachelor's degree from an accredited institution. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis. 
  • One (1) year advising experience or customer service 
  • Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint and Outlook)
  • Demonstrated experience working with diverse colleagues and/or students in a collaborative and inclusive environment
  • Effective oral and written communication skills
  • Ability to work well independently while being effective with time management, multi-tasking, and organizational skills and a positive attitude to thrive and succeed in a fast-paced environment.
Preferred Qualifications  
  • Experience in higher education
  • Knowledge of HSEWI programs
  • Experience with online document management or content management systems (Sharepoint, OneDrive, Canvas).
  • Experience with MailChimp
