PURPOSE OF THIS POSITION
The Human Resources Intern is responsible for maintaining the associate personnel files with guidance from the HR Staff. Maintaining the files includes pulling the files of terminated associates, cleaning files out and getting them ready for storage. The HR Intern will file associate records in the associate files according to the procedures of the department. The HR Intern will also assist in each area of the HR department (Recruiting, Benefits, Payroll, etc) as needed to gain knowledge of HR practices and procedures.
JOB DUTIES & RESPONSIBILITIES
- Duty 1: Terms Filing: From a spreadsheet, pulls all of the files of associates who have ended employment with BVHS. Transfers file folders into a hanging file and putse in alphabetical order in the file cabinets. Boxes up the earliest year's files from the file cabinets and gets them ready to be taken to cold storage.
- Duty 2: New Hire Filing: Assists the Recruiting Assistant with creation of New Hire files and places all new files alphabetically in the file room.
- Duty 3: Files all other paper HR records in the correct associate personnel file, in the proper file folder. Keeps filing up to date and the file room clean and organized.
- Duty 4: Assists the Associate Services Coordinator as this is the primary point of contact for numerous day-to-day requests, including, but not limited to address and tax changes, basic benefits questions and changes, leave requests, change in status events, and basic payroll information.
- Duty 5: Shadows and assists all areas of HR to gain knowledge of different aspects of Human Resources. Areas include Recruiting, Benefits, Payroll, Business Partners and Compliance.
- Duty 6: Special projects as assigned.
REQUIRED QUALIFICATIONS
- Good organizational skills and detail oriented.
- Positive interpersonal and communication skills.
- Proven PC literacy, specifically in Word and Excel programs.
- Understands, respects, and maintains privacy and confidentiality of all associate, human resources, and organizational information at all times
PREFERRED QUALIFICATIONS
- High School Graduate
- Previous work or volunteer experience
- Enrolled in a Human Resources field of study
PHYSICAL DEMANDS
This position requires a full range of body motion with intermittent bending, squatting, kneeling, and twisting. The associate must be able to sit for three hours, walk for one hour and stand for two hours per day. The associate must be able to lift 20 pounds. The individual must have excellent eye/hand coordination to operate various office machines. This position requires corrected vision and hearing in the normal range.
