POSITION SUMMARY:

The Coordinator is responsible for coordination of the day-to-day operations at the downtown center. Primary responsibility is to ensure programming that takes place in the building, such as classes, events and activities operate smoothly and efficiently. The Coordinator will work collaboratively with all areas of the college and with various outside organizations to ensure that programming and services are accessible at the downtown center. The Coordinator is responsible for ensuring the building has coverage from open to close and will work with Public Safety to maintain the door locking system. The coordinator also works directly with facilities to keep the building accessible and maintained to college standards. The individual in this position must be able to provide excellent service while creating a positive environment where students feel welcomed and able to ask questions. This individual may deal with challenging situations and will need to respond in a professional and diplomatic manner. The Coordinator will exhibit superior customer service skills and professionalism in their daily interaction and communication with all stake holders, and will train student workers based on this expectation. The Coordinator will be a champion supporting student success initiatives in line with the college's strategic goals. The Coordinator provides support to faculty and students.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:

  • Center Coordination: Coordinator is responsible to work collaboratively to assist departments across the college in offering services at the downtown center including:
    • Facilities – Creating work orders for all facility related needs at the downtown center including parking lot area. Responsible for ordering cleaning supplies for the building.
    • Room scheduling – Using 25 Live Pro to manage room requests and special events.
    • Business Services – Supply ordering, vending, contracts and special event requests, and runner schedule.
    • BIO/CHEM – work with BIO/CHEM Department on anything related to BIO/CHEM lab and storage areas. Coordination of check out process for student A & P models in learning commons.
    • Library/Testing/TLC/ODR – Coordinates services provided by Library/Testing/TLC in the learning commons area of the center. Works with the Office of Disability Services with student accommodations.
    • Public Safety – Serves as a Campus Security Authority and mandated reporter. Coordination of Fire and Other Safety Drills directed by Public Safety.
    • Academics – Makes sure classrooms are ready for each day. Oversees faculty bay offices. Provides general support for academic faculty and adjunct faculty. Makes sure mailboxes are set up each semester.
    • Student Services – Proficient in first-level support of admissions application process, advising (i.e. registering for classes, Financial Aid services (i.e., completing the FAFSA application), and navigating students through services.
    • Front line, Reception services- Ensure high quality first impression for, and provide exceptional service, to Delta College students, center guests, faculty, and employees by applying customer service skills, knowledge, advocacy, and professional judgment to address student and guest inquiries. Foster a friendly, supportive, and welcoming environment for students, faculty, and guests.
    • Student Service tracking- Document, for data purposes, students using Center services (ie: food pantry, advising, admissions, etc.).
  • Technology: Point person to communicate with OIT for technology and audio-visual equipment maintenance, basic trouble shooting and identifying training needs at the center. Responsible for ordering paper, ink toner and various other OIT related supplies. Oversees and trains student workers to assist in computer labs and learning commons area. Monitors furniture, computers, printers and other technology and non-technical resources in building. Ensures that technology check out log is maintained. Uses work order system for technology and A/V support.
  • Special Event Scheduling: Point of contact for Business Services, Room Scheduling, and College Administration to manage special events scheduled at the center. Manage 25 Live Pro Activity for the center. Coordinate any needs or requests associated with center special events with necessary departments. Maintain preferred catering list. Maintain needed supplies for catering room.
  • General Light Custodial and Building Services: Point of contact with Facilities Department about any building/facility needs. Observes facility for any maintenance, structural or mechanical problems and submits work order tickets as needed. Label hazard's situations and reports to appropriate department. Evaluates that cleaning company is meeting College Standards for cleaning based on facility baseline provided by Facilities Director and communicates any concerns to facilities.
  • Building Coverage: Coordinator is responsible for ensuring the building has coverage from open to close and will work with Public Safety to maintain the door locking system and staff/student parking areas.
  • Staff Supervision: Provides direct supervision to four to eight student workers. Ensures that all student workers are trained on office operations and student services tasks.
  • Support Delta College's commitment to the BEDI; collaborating with faculty, staff, and students on the College's strategic initiatives dedicated to closing the equity gap related to student success.
  • Other duties may be assigned as required to meet the needs of the College.
