Join our team as a Leasing Coordinator where you'll play a key role in supporting lease transactions, contract processing, accounts receivable, and customer service for our real estate portfolio. This position is fully in‑person, Monday through Friday, supporting daily operational needs and collaboration with internal and external partners. The position may be located on Oʻahu or Hawaiʻi Island; applicants from both areas are encouraged to apply.
Job Summary
Prepares standard and non-standard real estate lease related documents and routes for approval. Prepares monthly notices and correspondence for accounts receivable. Executes standard lease administration activities. Monitors accounts receivable and collections. Enters updates and other information into the real estate database. Receives and responds to standard and non-standard inquires. Works with occasional supervision.
Essential Responsibilities
Real Estate Transaction Processing
Prepares standard real estate lease related documents (to initiate, administer, or terminate lease) and routes for approval.
Prepares and processes sale agreements and supporting documentation for approval.
Prepares standard lease administration activities, including new lease agreements, re-negotiations, terminations, sales, and non-compliance matters. Inputs basic information into real estate database. Assists Leasing Managers with annual percentage rent program.
Administrative
Prepares correspondence and letters and routes for approval. Prepares and routes standard and non-standard internal documents and memos for approval.
Follows up on outstanding issues regarding lease agreements with internal and external parties.
Accounts Receivable & Financials
Researches and prepares past due notices and other related documentation.
Computes basic lease and rental calculations.
Prepares and mails past-due notices.
Customer Service Support
Receives and responds to standard inquires on status of lease negotiations or resolution of issues.
Delivers high level of customer service.
Position Requirements
Minimum Qualifications - An equivalent combination of education and experience may substitute for the requirements listed.
High School Diploma or equivalent.
Minimum of 3 years of experience in real estate or lease administration, banking, escrow or property management, or related industry.
Solid understanding of real estate contracts and documentation.
Familiarity of ground leases, rent re-negotiations, and tenant rights
Strong negotiation skills.
Strong project management skills.
and ability to manage competing priorities.
Familiarity with legal documents.
Strong attention to detail.
Solid math skills.
Strong communication skills, written and verbal.
Strong interpersonal skills and ability to manage conflict.
Strong computer skills and knowledge of Microsoft Office, and ability to learn new systems.
Strong customer service orientation.

Physical Requirements
Frequently sits, perform desk-based computer tasks and grasp light or fine manipulation, talk or hear.
Occasionally stand and/or walk, write by hand, and lift and/or carry, push and/or pull objects that weigh up to 10 pounds.
Rarely twist, bend, stoop, squat, kneel, crawl, climb, reach or work above shoulder, or grasp forcefully.
Working Conditions
This position may involve traveling to various locations, including neighbor islands to conduct business.
Work is conducted in an office/school environment and may require work to be conducted in non-standard workplaces.
Work is typically conducted Monday through Friday at normal business hours but evening and weekend hours are often required to meet goals and objectives.
