The Recruitment Coordinator serves as the administrative engine room of the recruitment process, with a specialized focus on the administrative side of contingent worker conversions and intern requisitions. This role is dedicated to process acceleration, data integrity, and proactive stakeholder engagement to ensure all KPIs are achieved. As the project manager of the recruitment pipeline, you are responsible for maintaining a high-speed workflow, ensuring every candidate and requisition moves forward with precision and efficiency.

 

The Recruitment Coordinator is accountable for:

 

  • Actively monitor the recruitment pipeline in Workday to ensure candidates move through administrative stages swiftly, with a specific focus on the end-to-end administration of contingent worker conversions and intern hiring.
  • Proactively follow up with Hiring Managers and HRBPs for next-step decisions; you are persistent, professional, and action-oriented in chasing stakeholders to clear bottlenecks before they impact "Time-to-Fill."
  • Maintain real-time accuracy in the ATS and take ownership of results, motivated by positive KPI trends and a commitment to delivering high-quality work within strict deadlines.
  • Manage the administrative side of the offer process, ensuring all candidate data, compensation details, and compliance documents are 100% accurate and complete before being sent for approval.
  • Follow established Standard Work to provide a high-quality service experience, while proactively seeking additional tasks or providing solutions during critical moments, such as peak hiring seasons or team absences.

 

Essential Skills, Knowledge, and Experience:

 

  • Demonstrate a proactive and supportive nature, always willing to assist team members and solve problems effectively to foster trust and smooth working relationships.
  • Take full responsibility for the precision of your work, remaining thorough in every task and asking for clarification when needed to ensure zero errors.
  • Proactively explore systems like Workday, Outlook, and Excel to find shortcuts and "little extra" improvements—such as refining a tracker or template—that benefit the team's future efficiency.
  • Act as an exceptional communicator who is approachable and easy to work with, using a positive demeanour to collaborate effectively across the HR and talent acquisition teams.
  • Display tenacity and grit by professionally pushing for answers and remaining persistent in moving the process forward, ensuring no detail falls through the cracks.
  • Proven experience in a high-volume administration or data-heavy coordination role; background in an RPO (Recruitment Process Outsourcing) environment is preferred.
  • A solid overall understanding of the recruitment lifecycle and how administrative efficiency impacts both the candidate and client experience.
  • Advanced proficiency in Excel (data tracking) and Workday (or similar ATS) to support the technical requirements of high-volume requisition management.
  • Ability to draft professional, persuasive, and assertive emails to Hiring Managers that drive action while maintaining strong, positive professional relationships.

 

 

This position comes with a one-year fixed-term contract (with the possibility of extension).
