We are seeking a detail-oriented and motivated Accounting Clerk to join our clients team in Halifax, NS. In this role, you will be responsible for processing transactions across various areas, including Accounts Payable, Accounts Receivable, control processes and payroll. Your contributions will be essential in maintaining the integrity of their financial operations.
Please note: this is a contract position for 6-7 weeks, possible extension available. This is a part time position with 22.5 expected hours a week, with more available depending on workload.
Accounts Payable
- Obtain required quotes for one-time purchases in line with company policy.
- Enter vendor invoices and route them for manager approval.
- Verify vendor HST/GST registration when applicable.
- Investigate and resolve invoice discrepancies promptly.
- Reconcile credit card statements and employee expense reports; code and submit for approval.
- Process vendor payments accurately and on time.
- Maintain updated vendor records and respond to vendor inquiries.
- Ensure all invoices, rent payments, staff claims, and credit card expenses are processed monthly.
- Manage petty cash, complete month-end reconciliation, and submit for review.
- Issue and reconcile staff cash advances and expense claims, ensuring policy compliance.
- Prepare, code, and issue customer invoices in a timely manner.
- Send invoices via email or mail and follow up on payments.
- Work with Property Manager to ensure rent is accurately recorded.
- Maintain updated customer records and respond to inquiries.
- Record payments received (cheque, cash, direct deposit).
- Record funding, grants, and donations; report donations for charitable receipt tracking.
- Review accounts receivable monthly and follow up on outstanding balances.
- Report overdue accounts to Finance Management and recommend collection actions or write-offs.
- Ensure no vendor invoices remain unprocessed or unapproved more than five business days after month-end.
- Ensure all customer invoices for monthly services are issued within five business days of month-end.
- Provide backup support to the Payroll Administrator during absences (vacation, sick leave, etc.).
- University degree preferred; a minimum of 2 years of experience in an accounting position is ideal.
- Strong attention to detail and accuracy is required.
- Proficiency in MS Office, particularly Excel, and experience with accounting software (e.g., Great Plains, SAP Concur).
- Excellent organizational and time management abilities to prioritize a high volume of tasks and competing priorities.

- Proven problem-solving skills, with the ability to visualize and deliver creative solutions.
