We are looking for an Administrative Assistant to provide administrative support to mental health agency staff and programs to enhance service delivery and administrative effectiveness. Responsibilities include reception, program support, database maintenance, IT support, and processing referrals and intakes.
Please note: this is a 6 week contract with the possibility to extend.
Job Responsibilities:
Reception:
- Create a welcoming environment for clients and visitors.
- Handle general inquiries, phone calls, and appointment bookings.
- Perform administrative tasks such as photocopying, scanning, and managing mail.
- Assist staff with technology support, scheduling, and maintenance requests.
- Maintain office organization and inventory.
- Communicate with employees and community partners.
- Organize and maintain confidential files.
- Attend and document committee meetings.
- Prepare supplies for community events and update calendars.
- Process incoming referrals and send necessary referrals to external providers.
- Book and follow up on client appointments.
- Manage client files and employee schedules in the database.
- Arrange catering for meetings and training sessions.
- Support staff with meeting space and vehicle bookings.
- Conduct fire alarm tests and evacuation drills.
- Disseminate Health & Safety information and maintain First Aid Kits.
- Troubleshoot and coordinate service requests for technological issues.
- Maintain inventory of surplus/back-up technology.
- Comply with agency policies and procedures.
- Perform other tasks as assigned by management.
- College diploma or equivalent experience in an administrative role.
- Experience handling confidential information with knowledge of data privacy laws.
- Strong customer service and interpersonal skills.
- Ability to work independently and manage multiple tasks.
- Proficient in Microsoft Office Suite.
- Excellent writing and communication skills.
- Knowledge of general office procedures and databases.
- Adhere to Workplace Hazardous Materials Information System and AODA regulations.
- Promote health and safety in the workplace.
- Manual dexterity for computer use.
- Ability to lift up to 30lbs and respond to multiple demands.
- Overtime as required.
- Commit to reducing risk of injury and occupational illness.
- Promote the Internal Responsibility System for health and safety.
- Abide by Occupational Health and Safety Act and agency policies.
- Pay rate: $18/hr depending on experience
