Schedule: Mon – Fri 8:00am – 5:00pm
Length: Long term
Payrate: $23 per hour 
 
The administrative assistant  will provide support to the R&D team with scheduling meetings, event logistics, purchasing support, and assistance with documentation and template maintenance.


Responsibilities:

  • Manage meetings; schedule calendars, teleconferences, audio-visual / technology, catering, supplies, tours, and travel
  • Review and respond to inquiries from internal and external customers
  • Submit facility work orders, as needed, for building repairs
  • Maintain office equipment such as copiers, printers, televisions, projectors, etc.
  • Maintain office supplies, membership dues, and subscription renewals
  • Coordinate R&D all staff events
  • Support onboarding of new team members within R&D
  • Handle sensitive information with a high level of confidentiality and discretion
  • Partner with all R&D administrative assistants in supporting staff
  • Manage departmental budgeting responsibilities:
  • Create requisitions for Purchase Authorizations (POs) and maintain backup documentation
  • Vendor Profile Management; work directly with vendors to create a profile in B+L payment system
  • Submit and track vendor payments
  • Responsible for department purchasing card allocation and reconciliation
  • Generate reporting to communicate across business
  • Documentation creation, editing and support
Qualifications:
  • Associates degree or equivalent preferred
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) is required
  • Basic knowledge or experience with cGMP environments is beneficial
  • Knowledge of basic office practices and procedures required
