Logistics Coordinator –Clinical Research
The Logistics Coordinator supports the operational success of observational clinical research studies by managing the logistics of biospecimen collection and tracking. This role is especially critical for studies involving decentralized or in-home sample collection and requires coordination with 3rd party mobile phlebotomy vendors, proactive participant outreach, and meticulous tracking in internal systems.
Key Responsibilities
- Sample Collection Coordination
Coordinate end-to-end biospecimen collection, including follow-up for mobile phlebotomy appointments. Work closely with 3rd party vendors to ensure samples are scheduled, collected accurately and on time according to protocol requirements. - Participant Outreach and Compliance
Communicate directly with study participants to provide pre-collection instructions and confirm completion of collection events. Follow up on missed or delayed draws to ensure protocol compliance and participant engagement. - Data Entry and Tracking Platform Management
Accurately enter and maintain biospecimen collection data in sponsor database and internal tracking systems and databases. Ensure real-time visibility into specimen status, such as collection dates, courier tracking numbers, and lab receipt confirmations. - Vendor and Site Communication
Act as a liaison between clinical sites, vendors, and internal study teams. Communicate collection schedules, address logistics issues, and escalate concerns as needed to avoid delays or protocol deviations. - Logistics Oversight and Issue Resolution
Monitor the entire biospecimen logistics pipeline—including collection, shipping, and receipt—ensuring all steps meet study timelines and quality standards. Quickly resolve operational issues such as lost specimens or courier disruptions. - Compliance and Documentation
Maintain complete and audit-ready documentation of all sample-related activities in alignment with study protocols, SOPs, HIPAA regulations, and Good Clinical Practice (GCP). - Process Improvement
Support efforts to streamline specimen logistics workflows, improve data accuracy, and enhance participant satisfaction.
- 1–3 years of experience of coordination in a high volume role, with healthcare operations or specimen logistics coordination being preferred.
- Excellent written and verbal communication skills, especially in participant-facing contexts.
- High attention to detail with strong organizational and problem-solving abilities.
- Working knowledge of HIPAA, FDA regulations, and/or GCP is a plus.
