FLSA Status: Non-Exempt
Status: Full-Time
Location: Norwell, MA
Pay Rate: $25-$30 per hour
Hours: Monday - Friday, 8:00 AM to 5:00 PM
Preferred Experience: Healthcare background and scheduling experience preferred.
The Clinical Team Assistant (CTA) plays a vital role in supporting Clinical Managers and clinical staff to enhance communication and ensure the delivery of quality patient care. This position serves as the primary liaison between clinicians and Clinical Managers, coordinating schedules and providing administrative support.
Key Responsibilities Scheduling and Coordination- Ensure timely scheduling of staff for daytime, evening, weekend, and holiday shifts.
- Assign new admissions and resumptions of care in consultation with Clinical Managers.
- Adjust schedules to maintain expected productivity levels and project daily staffing needs.
- Coordinate staff workloads to ensure continuity of patient care.
- Serve as a scheduling resource for team members, the Intake Department, and patients.
- Provide clerical support to Clinical Managers and clinical staff, including preparing meeting minutes, letters, flyers, and managing faxes.
- Maintain accurate and updated monthly schedules for nurses under Clinical Managers' oversight.
- Manage holiday, weekend, vacation, and on-call rotations with Clinical Managers' supervision.
- Facilitate communication with per diem and contract staff to update availability.
- Ensure service satisfaction through effective communication with staff, patients, and the Intake Department.
- Ensure compliance with federal and state laws and adhere to corporate compliance policies to prevent fraud and abuse.
- Perform other duties as assigned.
- Proficient in Microsoft Word and Excel with strong computer and keyboarding skills.
- Excellent communication and interpersonal skills with a congenial and positive attitude.
- Highly organized, flexible, dependable, and able to work effectively as part of a team.
- Capable of working under pressure, meeting deadlines, and maintaining attendance requirements.
- Ability to sit for prolonged periods, primarily at a computer.
- High School Diploma required; Associate's Degree in Secretarial Science preferred.
- Minimum of 2 years of clerical or office experience required, with healthcare experience strongly preferred.
- Prior experience as a multi-disciplinary scheduler is highly desirable.
