Customer Service Representative

Schedule: Monday – Friday | 7:00 AM – 4:30 PM
Work Arrangement: Hybrid (3 days onsite, 2 days remote)
Location: Gardena, CA 
Compensation Range: $23.00 – $24.00 per hour (DOE)

 
Position Overview:

The Customer Service Representative serves as the dedicated, central point of contact for assigned customers, ensuring a first-class customer experience. This role is responsible for building strong customer relationships, managing expectations, and delivering customer excellence by continuously improving service processes. The position requires accountability, collaboration, and a strong commitment to helping customers succeed while aligning with company capabilities and goals.

Primary Responsibilities:
  • Manage a portfolio of 30–50 customer accounts (including 10 critical/strategic accounts), proactively communicating via phone, email, and scheduled in-person meetings to enhance the customer experience

  • Process sample and sales orders through invoicing and manage at-risk inventory using SAP

  • Support complex logistics processing and collaborate with the freight team on order tracking, customer complaints, refunds, and issue resolution

  • Adhere to Standard Operating Procedures for all customer service processes, including order intake via phone, fax, email, and EDI

  • Proactively track, analyze, and resolve customer issues, including returns, debit and credit processing, and complaint management

  • Partner with sales and operations teams to identify and implement best practices related to shortages, lead times, freight costs, and other customer-impacting communications

  • Meet company expectations for key performance metrics, including on-time delivery, open orders, productivity, overtime, and freight cost reduction

  • Prepare and process documentation such as bills of lading, pick tickets, and invoices

  • Manage back-orders and open orders

  • Scan, mail, and file applicable paperwork daily

  • Participate in team support projects and cross-functional initiatives

  • Perform additional duties as assigned by management

Qualifications:
  • High School Diploma or GED required; Bachelor's Degree preferred

  • Minimum of 3 years of prior customer service experience preferred

  • 1+ year of working knowledge of SAP required, preferably in Order Management (Sales and Distribution module) and Transportation

  • 1+ year of transportation tendering or operations experience preferred

Additional Knowledge & Skills:

  • Ability to lead and collaborate with cross-functional teams including Customers, Sales, Operations, R&D, Marketing, Finance/IT, Supply Chain, HR, and Quality

  • Adherence to all HR and food safety policies, especially when working in production plant environments

  • Willingness to assist in recall exercises as needed

  • Languages: English required; Spanish a plus (required for bilingual positions)

  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint.
