What's a typical day as a Customer Service Specialist? You'll be:
• Engaging in proactive customer support as the main point of contact for customers purchasing new/pre-owned systems, ensuring seamless order processing from receipt to installation.
• Collaborating cross-functionally with various departments to facilitate flawless order management and installation.
• Maintaining regular communication with customers, project managers, and others to keep them informed about order status, assisting with any issues, and ensuring all pre and post-delivery processes are completed.
• Responsible for working with Production, Planning, Purchasing departments, and affiliates to determine product availability and communicate to customers as required.
• Coordinating delivery requests with the Warehouse team. Ensuring order dates are meticulously maintained according to standard operating procedures.
• Coordinating customer pick-ups/deliveries.
• Responsible for assisting customers with freight damage claims and machine and product returns.
• Creating software maintenance agreement contracts.
• Performing Financial and Quality Audit Compliance. Basic understanding of Legal Control and Denied Parties.
• Creating down payment, progress payment, and/or proforma invoices
• Maintaining open and closed customer order files.
• Providing backup support for all other order types and customer RFQs for small parts and accessories.
• Informing the Supervisor and/or Manager of important developments, potential problems, and information necessary for effective management.
• Supporting Supervisor and/or Manager as necessary with other tasks including but not limited to: producing reports, analysis, and review of orders, special projects, process improvement initiatives, providing backup to other Customer Care areas, and other duties as directed or assigned. 
• Additional responsibilities may include acting as department contact, covering meetings, answering questions, and supporting team members in the Supervisor or Manager's absence.
  
This job might be an outstanding fit if you:
• Hold a Bachelor's degree with 1-3 years of experience in customer service, order management, sales administration, or a related area
• Or have 5+ years of relevant experience. Export experience is a plus.
• Are proficient in Microsoft Office (Word and Excel required; Visio and PowerPoint are helpful) and possess strong written and verbal communication skills.
• Demonstrate excellent attention to detail, time management, problem-solving abilities, and self-motivation.
• Professional customer service orientation
• SAP experience preferred
