Description

Department Assistant

We are seeking a dedicated and detail-oriented Department Assistant to provide comprehensive administrative support working in School of Nursing at a prestigious university in the University Circle area. The ideal candidate will help ensure the efficient operation of the program office, support faculty and students, and facilitate clear communication across all levels of the School of Nursing.
Key Responsibilities:

  • Support the PhD Program Director with calendar management, travel arrangements, and meeting coordination
  • Maintain templates and databases for program syllabi, student progress, awards, funding, and committee records
  • Coordinate and manage PhD milestones (dissertation submission, orientation events, advisor onboarding, etc.)
  • Assist in preparing annual reports and facilitating information collection for program reviews and training grants
  • Serve as administrative support for program faculty committees and the PhD Council
  • Communicate regularly with students, faculty, staff, and administration, ensuring policy implementation and timely updates
  • Manage the admissions process, organize recruitment materials/events, and collaborate with university offices
  • Track office supply inventory, process expenses/reimbursements, and support budget preparation/forecasting
  • Maintain and update website content for program-related academic information
Requirements:
  • Proven administrative experience, preferably in an academic or healthcare setting
  • Strong organizational, communication, and multitasking skills
  • Proficiency in Microsoft Office Suite and familiarity with academic databases and systems
  • Ability to maintain confidentiality and manage sensitive academic/student records
