Executive Administrator – Raritan, NJ

Kelly Services is currently seeking an Executive Administrator at one of our Global clients in Raritan, NJ.  This role is a full-time, fully benefitted position.  
This position is eligible for Medical, Dental, 401K and a variety of other benefits to choose from.   You'll also be eligible for paid time off, including holiday, vacation and sick/personal time.  Employees also receive annual performance reviews.

Job Description: We are seeking a highly motivated and organized individual to join our team as an Executive Assistant. In this dynamic role, the Executive Assistant will be responsible for providing comprehensive administrative support to the VP Application Engineering Platforms and their organization, assisting in the management and coordination of various projects within the company. We are looking for someone who is passionate, energetic, and agile and who acts professionally while demonstrating a clear communication style. The selected candidate will anticipate the needs of the team they support, help them stay focused, resolve issues before they arise, and go the extra mile as needed. A successful person in this position will also partner with other leaders and their administration staff within the TS Organization on various projects. This person must have solid organization skills, be able to work successfully in a matrixed environment, and handle various duties with appropriate prioritization and an ability to problem solve and learn new skills effectively.

Responsibilities:

  • Provide executive administration support to VP of Engineering Platforms.
  • Proactively manage and maintain the schedule of the leadership team, including calendar management, travel arrangements, and meeting coordination.
  • Prepare agendas and materials for executive meetings.
  • Assist in the preparation of meetings, including agenda creation, meeting minutes, and follow-up on action items.
  • Coordinate and assists in developing, compiling and processing associated business reports and preparing analysis and presentations as required by the VP.
  • Fulfill other tasks or duties set by direct manager for the Application Engineering Platforms organization
  • Collaboration with all company departments and outside agencies.
  • Assist in the tracking and monitoring of project timelines, milestones, and deliverables.
  • Identify improvement areas and propose solutions to simplify and streamline administrative operations
  • Assisting and where necessary leading the organization of company events and meetings.
  • Foster a positive and collaborative work environment within the administrative team.
  • Successfully complete all mandatory trainings on time
  • Coordinate conference room reservations and catering for group meetings as needed
  • Prepare, reconcile and submit expense reports in Concur in a timely manner
  • Manage confidential business documentation: emails, correspondence, files, and documents with the highest level of professionalism
  • Handle various duties and special projects, like reviewing and proofreading, with appropriate prioritization and an ability to problem-solve and learn new skills
  • Engage in tasks that call for good judgment, independent initiative, and excellent soft skills
  • Assist with the creation of high-level presentation and communication materials
  • Act as the point of contact on behalf of the team when hosting meetings or visitors while they are onsite
  • Actively stay informed of company policies, procedures, and guidelines relevant to the functioning of the department and provide guidance of such to applicable staff
  • Provide backup support to other Administrative Assistants

Required Qualifications:
  • A High School diploma or equivalent
  • A minimum of 5 years of proven administrative experience
  • Detail oriented and strong organizational skills with ability prioritize various tasks simultaneously
  • Advanced Proficiency in MS Office Suite: Outlook, Excel, Word, PowerPoint
  • Comfortable with technology to gain advanced proficiency quickly in the following: SAP Ariba, SharePoint, Concur, AMEX Travel, MS Teams, and Zoom
  • Global calendaring experience in a matrixed environment understanding time zone impacts to meetings and travel schedules
  • Professional demeanor with strong verbal, written communication skills, social skills, and attention to detail
