Executive Assistant
Cleveland, OH
$29.28/hour
Temporary to Potential Full Time
Monday-Friday 8:30AM-5:00PM

The Executive Assistant will be responsible for all administrative support needs ensuring efficient and effective operations. This role involves supervising administrative staff, managing office resources, and implementing policies and procedures to enhance productivity and compliance. Responsibilities:

  • Serve as the primary contact with the Office of the President, vice presidents, deans, trustees, major donors, corporate, foundation, business, and government officials.
  • Perform strategic and confidential work with limited supervision (reports, proposals, agendas).
  • Draft a wide array of correspondence for or on behalf of the provost.
  • Manage interactions with internal and external organizations and individuals.
  • Identify and address issues by directing requests to the appropriate person/area.
  • Respond to routine inquiries as delegated by the provost.
  • Handle and organize large volumes of confidential information, documents, and correspondence.
  • Review and take appropriate action on incoming documents, mail, and email.
  • Analyze and evaluate data to provide recommendations to the provost and assist with workflow planning.
  • Manage and coordinate the provost's daily agenda and schedule.
  • Exercise judgment and discretion in prioritizing meetings and events.
  • Meet with key administrative contacts to plan trips and events.
  • Research, collect, and organize information to prepare and brief the provost for meetings and engagements.
  • Manage, coordinate, and set agendas for regular and ad hoc Provost-convened meetings.
  • Coordinate activities and information exchanges with university officials and external leaders.
  • Review documents prepared by others for content, accuracy, and appropriateness.
  • Maintain knowledge of university policies related to fiscal controls, operations, budgets, endowments, payroll, and grants administration.
  • Coordinate and oversee national and international travel arrangements for the provost.
  • Execute special projects assigned by the provost, managing details and completing the projects.
  • Attend meetings at the direction of the provost, taking notes and preparing minutes.
  • Assist other staff with routine inquiries.
  • Suggest and implement operational improvements, including new procedures, documentation, and training.
  • Represent the office on committees and at university events.
  • Continuous contact with the Provost's Executive Committee and the Office of the Provost.
  • Frequent contact with business leaders, governmental officials, and external consultants
  • Occasional contact with vendors, industry resources, students and parents for inquiries and scheduling assistance.
  • Directly supervise some administrative support staff in the Office of the Provost.

Qualifications:
  • Minimum of 7 years in executive administrative support, preferably in a higher education setting.
  • High school diploma required, Bachelor's degree preferred.
  • Proficiency in Microsoft Office and Google Suite.
  • Professional demeanor with high discretion and integrity.
  • Excellent written and oral communication.
  • Strong multi-tasking, attention to detail, and proofreading skills.
  • Commitment to supporting university values and policies.
  • Flexibility, initiative, and ability to work independently and as part of a team.
