Office Coordinator

We're seeking a proactive and reliable Office Coordinator to join the Office of the Provost at a university in University Circle. If you thrive in dynamic environments and enjoy supporting senior leadership, this position could be your next step.
Position Summary:
The Office Coordinator will provide administrative and scheduling support to members of the senior leadership team within the Provost's Office. You'll drive smooth execution of office events, meetings, and daily functions, all while maintaining strict confidentiality and discretion.
Key Responsibilities:

  • Coordinate appointments, meetings, and events for Provost's Office senior leadership, ensuring standards and protocols are followed.
  • Manage confidential correspondence and information with sound judgment.
  • Organize and manage travel arrangements, as well as expense forms and reimbursements for the leadership team.
  • Screen and triage calls, welcome office visitors, and route inquiries as needed.
  • Track, reconcile, and authorize office budget records, purchases, invoices, and expense reports using PeopleSoft.
  • Maintain office supplies inventory and monitor expenses.
  • Support search advisory committees by scheduling meetings, interviews, and handling related reimbursements.
  • Provide backup support for the executive assistant to the provost and perform other duties as assigned.
Ideal Candidates Have:
  • 5+ years of executive office experience in scheduling and related functions.
  • High school diploma required; some college and/or secretarial office training preferred.
  • Exceptional professionalism, tact, diplomacy, and a history of handling sensitive/confidential matters.
  • Strong organizational, planning, troubleshooting, and communication skills.
  • Excellent command of the English language, with superior proofreading ability.
  • Confidence working independently or as part of a team and adapting to changing priorities.
  • Proficiency in Microsoft Office Suite, Google Suite, and familiarity with standard office/database applications.
  • Ability to work occasional overtime and maintain consistent attendance.
