Summary:
The Operations Coordinator provides essential administrative support to ensure smooth and efficient office operations. This role supports both managers and employees through tasks involving communication, data handling, and organization. The position requires sound judgment, decision-making ability, and creativity in achieving goals. The coordinator manages confidential and time-sensitive information and must be familiar with key concepts, practices, and procedures within the field.

Essential Functions:
Professionally manage incoming phone calls and serve as the point of contact for plant visitors.

Provide GL coding for accounts payable invoices.

Process customer invoicing for Angleboard clients.

Maintain and process accounts payable and credit card records.

Organize and maintain office supply inventory.

Handle receiving documentation for all raw materials and consumables.

Assign account codes and submit invoices to Corporate.

Enter BOLs and orders into tracking systems and send updates to Corporate.

Prepare end-of-month reports and review with the Plant Manager for submission to Corporate Headquarters.

Issue purchase orders for plant, maintenance, and office needs.

Manage general administrative duties including filing, copying, mail distribution, and supply ordering.

Maintain confidentiality while handling sensitive information.

Collaborate with supervisors and leads for monthly inventory reporting.

Direct employees to appropriate information sources.

Occasionally serve as backup for Customer Service Representative (CSR) tasks.

Perform other duties as assigned.

Qualifications:
Education:

High School Diploma or GED required

Degree from an accredited institution preferred

Experience & Skills:

Data entry experience required

ERP/Inventory software experience preferred

Proficiency with Microsoft Office (Word, Excel, Outlook)

Strong skills in Excel, including pivot tables and formulas, is a plus

Must Haves:
Proficiency in Microsoft Office Suite, especially Excel (including formulas and pivot tables).

Experience with data entry and invoice processing, including accounts payable and purchase orders.

Strong organizational and communication skills, with attention to detail and the ability to manage multiple priorities.

Familiarity with ERP or inventory management systems and basic accounting principles.

Ability to handle confidential and time-sensitive information in a professional manner.
