Work Schedule:
- Typically, Monday – Friday, 8 AM – 5 PM.
- Occasional overtime and on-call duties as required.
The Shipping and Receiving Supervisor is responsible for overseeing all shipping and receiving activities, ensuring efficient handling, storage, and movement of materials while maintaining strict compliance with Good Manufacturing Practices (GMP). This role includes supervising personnel, performing the duties of shipping, and receiving agent, coordinating daily operations, and ensuring adherence to GMP, safety, and regulatory guidelines. The supervisor ensures shipments are processed accurately and on time while optimizing workflow to meet customer and company demands.
Duties and Responsibilities:
Supervision & Leadership:
- Lead and provide an "on-floor" presence for the Shipping and Receiving team.
- Set priorities, assign work, and monitor workflow efficiency.
- Train and mentor employees, ensuring adherence to GMP protocols, Standard Operating Procedures (SOPs), and safety guidelines.
- Conduct performance evaluations and address any personnel issues, including disciplinary actions as necessary, according to policy to ensure all departments are following consistent standards.
- Provide forklift training and all other applicable certifications.
- Ensure all shipping / receiving employee certifications are up-to-date and/or renewed.
- Perform the duties of the shipping and receiving agents.
- Ensure accurate and timely receipt of raw materials and outgoing shipments.
- Verify shipments for accuracy against purchase orders and packing slips.
- Oversee preparation of shipments, including documentation such as bills of lading, packing lists, customs clearance forms, and hazardous material shipping labels.
- Coordinate loading and unloading trucks, trailers, ISO containers, and railcars.
- Maintain inventory accuracy by ensuring proper documentation and data entry into ERP systems.
- Ensure compliance with all DOT, OSHA, GMP, IATA, and other applicable government regulations and regulatory agencies involving the shipment of finished goods.
- Maintain required shipping and hazardous materials certifications for staff.
- Oversee proper labeling, handling, and transportation of hazardous materials.
- Ensure all visiting truck drivers and personnel follow site safety protocols.
- Train and enforce GMP procedures among team members to maintain product quality and prevent contamination.
- Conduct regular inspections and audits to verify GMP compliance and identify areas for improvement.
- Work closely with Quality Assurance and other departments to resolve GMP-related issues and support audits as needed.
- Maintain records and documentation per GMP requirements, ensuring accuracy and traceability.
- Identify process inefficiencies and implement improvements to increase productivity while maintaining GMP standards.
- Work closely with production, customer service, and other departments to ensure smooth coordination of shipments.
- Maintain records of damaged shipments, report non-conformances, and process claims as needed.
- Ability to present information and respond to questions from other departments.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Ensure proper maintenance of warehouse equipment, including forklifts, and pallet jacks.
- Manage warehouse space to optimize storage efficiency and safety.
- Ensure facility cleanliness to company standards.
Education & Experience:
- Associate or bachelor's degree preferred (or equivalent work experience).
- Minimum of five (5) years of experience in shipping/receiving, logistics, or warehouse operations.
- At least three (3) years in a supervisory role.
- Previous forklift certification.
- Proficiency with ERP systems, (Process Pro ERP preferred).
- Strong knowledge of domestic and international shipping regulations.
- Familiarity with major freight carriers and online shipping platforms (UPS, FedEx, DHL).
- DOT compliance - must obtain DOT CFR 49 (DGR) Hazardous Materials certification within 3 to 6 months of being hired.
- Ensure the company meets all Dangerous Goods shipping regulations, including Limited Quantity regulations.
- Strong problem-solving and decision-making abilities.
- Excellent communication and collaboration skills.
- Ability to multitask and prioritize workload in a fast-paced environment.
- Attend all required meetings and training.
- Other duties as assigned by management.
- Regularly lift heavy materials (up to 50 lbs.).
- Ability to maneuver drums weighing 500-550 lbs.
- Regular use of forklifts, pallet jacks, and other warehouse equipment.
- Exposure to warehouse conditions including varying temperatures, noise, and moving equipment.
