Title and Summary

Executive Assistant Job Overview:
This function is an extension of the executive – optimizing time, anticipating needs, managing, competing priorities, and ensuring seamless execution across professional commitments. The ideal candidate is proactive, detail oriented, and capable of managing ambiguity. This position serves as a strategic partner to a senior executive, ensuring the executive's time, priorities, and engagements are aligned with organizational objectives. This role is responsible for managing complex, scheduling, communications, logistics, and operational coordination, proactively, identifying risks, anticipating needs, and removing friction. Success in this role requires strong, organizational capability, executive presence, critical thinking, and the ability to anticipate requirements before they explicitly communicated. Performs general administrative duties to support day-to-day department operations in such areas as telephone coverage, scheduling of meetings, travel arrangements, expense reporting, calendar management, taking and distributing meeting minutes, copying, screening mail, ordering supplies, and maintaining department records.

Major Accountabilities:
• Optimize the executive's time- Manage a highly dynamic calendar across internal external and strategic commitments evaluate meeting request for alignment with priorities and intended outcomes and ensure appropriate attendees' purpose and preparation before confirming meetings, protect focus time and prevent calendar, congestion, build, and preparation blocks travel, blockers, and recovery time anticipate conflicts and resolve proactively. Perform general administrative duties to support day-to-day department operations in such areas as phone coverage; scheduling meetings; completing travel arrangements; expense reporting; maintaining management calendar; taking and distributing meeting minutes; screening mail; ordering supplies and maintaining department records.
• Strategic meeting and engagement support – ensure readiness of follow-through, prepared executive briefings, compile meeting materials of summarize key context, track action items/decisions and follow ups, coordinate stakeholder communication.
• Communication management and triage – increase responsiveness while maintaining executive voice and discretion. Triage inbound communications and flag priority items. Draft correspondence on behalf of the executive when appropriate. Monitor outstanding requests and ensure timely follow up.
• Travel and logistics coordination – Manage all travel arrangements, including flight accommodations, ground transport and itineraries. Coordinate meeting schedules during travel. Provide consolidated itineraries and contingency planning. Support expense, tracking and reporting.
• Operational and administrative oversight –Manage recurring, administrative processes (expenses, renewals, documentation, tracking). Maintain organized, digital files and contact records. Support light project coordination and deadline tracking. Identify workflow inefficiencies and recommend improvements.
• Proactive anticipation and risk management – Anticipate preparation needs for upcoming engagements. Identify scheduling bottlenecks and priority misalignment. Flag emerging conflicts, missed deadlines, or stakeholder risks. Provide recommended solutions not just identified problems.
• Relationship and stakeholder interface –Serve as a primary point of coordination for internal and external stakeholders. Build trust through responsiveness and judgment. Navigate sensitive dynamics with discretion.
• May research special topics as assigned.
• Serve as administrative liaison with others within and outside the company.
• Develop and produce reports as assigned.
• May monitor and coordinate work of other employees or temporaries. Must be action oriented, detail oriented, and proactive.

Education:
• High School education. College degree a plus.

Knowledge / Experience:
• Administrative experience in a corporate environment interfacing with senior and executive level management and senior customers.

Skills/ Abilities:
• Strong knowledge of department budgets and desk top computer software. In line with Mastercard's total compensation philosophy and assuming that the job will be performed in the US, the successful candidate will be offered a competitive base salary and may be eligible for an annual bonus or commissions depending on the role. The base salary offered may vary depending on multiple factors, including but not limited to location, job-related knowledge, skills, and experience. Mastercard benefits for full time (and certain part time) employees generally include: insurance (including medical, prescription drug, dental, vision, disability, life insurance); flexible spending account and health savings account; paid leaves (including 16 weeks of new parent leave and up to 20 days of bereavement leave); 80 hours of Paid Sick and Safe Time, 25 days of vacation time and 5 personal days, pro-rated based on date of hire; 10 annual paid U.S. observed holidays; 401k with a best-in-class company match; deferred compensation for eligible roles; fitness reimbursement or on-site fitness facilities; eligibility for tuition reimbursement; and many more. Pay Ranges

Arlington, Virginia: $72,000 - $113,000 USD
