Title and Summary

Executive Assistant Role Overview
The Executive Assistant provides high-level, proactive administrative and operational support to senior leadership. This role will support the Asia Pacific SVP, Consumer Products and Processing and the SVP, Acceptance. The role acts as a trusted partner to the SVPs, enabling effectiveness through exceptional calendar management, stakeholder coordination, communication support, and business administration. The Executive Assistant exercises sound judgment, maintains strict confidentiality, and leverages modern productivity tools, including generative AI, to support strategic and operational priorities.

Key Responsibilities

Executive & Business Support
• Provide comprehensive executive-level administrative support, including complex calendar management, prioritization of meetings, and coordination across multiple time zones
• Serve as the primary point of contact for the SVPs, managing phone coverage, email triage, and internal and external communications
• Coordinate domestic and international travel arrangements, including itineraries and expense reporting
• Provides support for meeting preparation by organizing agendas, materials, and pre-reads; take and distribute accurate, action-oriented meeting minutes

Communication, Documentation & AI Enabled Productivity
• Draft, edit, and format executive-level correspondence, memoranda, presentations, reports, and other materials using standard desktop software and generative AI tools where appropriate
• Leverage generative AI to improve efficiency and quality of executive communications, summaries, research, and documentation while applying sound judgment and human review
• Ensure communications are clear, professional, and aligned with executive intent and organizational standards
• Manage sensitive and confidential information with discretion and professionalism

Budget, Programs & Operational Management
• Assist in the preparation, tracking, and maintenance of departmental or executive budgets
• Administer and support SVP sponsored programs, initiatives, or projects, ensuring timelines, documentation, and reporting are maintained
• Maintain spreadsheets and/or databases to track departmental metrics, executive priorities, and operational data
• Conduct research and analysis on special topics to support executive decision-making, including synthesizing information using AI-enabled tools

Stakeholder & Cross-Functional Coordination
• Act as an administrative liaison between the SVPs and senior leaders, internal teams, customers, and external partners
• Build strong working relationships across the organization to facilitate effective communication and execution
• Coordinate logistics and follow-ups for leadership meetings, offsites, and key business events

Team & Process Support
• Maintain department records, filing systems, and documentation standards
• Order supplies and manage administrative processes to support efficient operations
• May coordinate or oversee the work of other administrative staff or temporary resources
• Identify opportunities to improve administrative processes, workflows, and tool adoption, including responsible use of generative AI

Qualifications & Experience

Experience & Skills
• Proven experience providing administrative or executive support in a corporate environment, including direct interaction with senior and executive-level leadership
• Strong understanding of departmental budgeting, expense management, and administrative controls
• Advanced proficiency in desktop productivity tools (e.g., word processing, spreadsheets, presentations, email, and calendar platforms)
• Familiarity with generative AI tools (e.g., for drafting, summarization, research, and productivity), with the ability to apply them responsibly and effectively in a corporate environment
• Exceptional organizational skills with the ability to manage competing priorities and shifting demands
• Strong written and verbal communication skills, with confidence interacting with senior stakeholders
• High level of professionalism, discretion, and judgment when handling confidential information
• Proactive, detail-oriented, and solutions-focused mindset
