All About the Role
Are you a highly motivated, well-organized professional with a customer support mindset? Mastercard is seeking a Senior Business Assistant and Office Manager to support our Division President for Nordics & Baltics, as well as Senior Vice Presidents in the market. This role, based in Stockholm, Sweden, offers a unique opportunity to be part of an expanding team in one of Mastercard's key focus markets.

Key Responsibilities:

Executive Assistant Responsibilities:
• Calendar Management: Efficiently manage the Division President's schedule, ensuring all meetings and commitments are accurately recorded.
• Travel Arrangements: Coordinate international travel, including visa applications, flight and accommodation bookings, and logistical support.
• Expense Reporting: Handle Travel & Expenses (T&E) and submit expense reports in compliance with finance policies.
• Meeting Coordination: Organize customer and team meetings, including venue booking, catering, and guest speaker arrangements.
• Event Support: Ensure all aspects of meeting and event support are appropriately managed.
• Miscellaneous Projects: Assist with various projects as needed.

Office Manager Responsibilities:
• Employee Onboarding: Manage the onboarding process for new employees, including badge handling, desk allocation, and phone orders.
• Business Continuity & Safety: Oversee business continuity and health and safety protocols for the office.
• Office Maintenance: Ensure the office runs smoothly by managing relationships with mobile phone and printer suppliers and coordinating technical assistance.
• First-Line Support: Serve as the primary point of contact for office and policy-related inquiries.
• Reception Management: Guide the receptionist in daily tasks and prioritization, fostering a collaborative workplace environment.

• Experience: Proven track record in booking international travel and interfacing with senior and executive level management.
• Calm Under Pressure: Maintain composure in a fast-paced, rapidly changing environment.
• Strong Judgment & Etiquette: Exercise sound business judgment and professional etiquette.
• Multi-Tasking: Effectively manage multiple priorities and meet deadlines.
• Problem-Solving: Approach challenges with strong decision-making skills.
• Communication: Excellent communication skills in English and Swedish.

Qualifications:
• Education: High School education required; university degree a plus.
• Experience: Extensive experience in business administration support within a corporate environment interacting with senior and executive level management and senior customers.
• Skills: Proficient in Microsoft Office, fluent in Swedish and English, with a service-oriented mindset.
