General Summary of Position
The Equipment Coordinator Supervisor is responsible for overseeing the coordination tracking distribution and maintenance of medical equipment within a hospital or healthcare system. This role ensures critical equipment is available safe and functioning to support patient care. The supervisor leads a team of Equipment Coordinators and support staff partners with clinical and biomedical departments and drives efficient supply chain operations while maintaining compliance with healthcare regulations. This role is dedicated to the management and operational oversight of hospital Code Carts and emergency response equipment ensuring carts are fully stocked compliant and immediately ready for patient emergencies.

Primary Duties and Responsibilities


  • Oversee the complete lifecycle management of hospital code carts to ensure continuous readiness for patient emergencies.
  • Supervise the daily stocking inspection and readiness of all hospital code carts. Ensure code carts are fully stocked sealed and compliant with hospital policies and emergency response protocols. Manage inventory levels purchasing and replenishment of all code cart supplies.
  • Monitor and remove expired supplies and medications and ensure timely replacement. Ensure carts are restocked immediately following code events. Conduct or oversee routine code cart inspections and documentation.
  • Maintain accurate inventory records and tracking of code cart contents. Coordinate with Pharmacy Nursing Respiratory Therapy and Biomedical Engineering to ensure proper configuration and readiness. Ensure compliance with regulatory and accreditation requirements (Joint Commission CMS OSHA).
  • Investigate and resolve supply discrepancies or equipment readiness issues. Standardize code cart configurations to improve clinical efficiency and patient safety. Manage purchasing and vendor coordination for code cart supplies and related equipment.
  • Supervise daily operations of equipment coordination for hospital units and departments. Oversee inventory tracking and distribution of mobile medical equipment (e.g. IV pumps wheelchairs monitors beds and Cold carts). Ensure timely delivery pickup and redistribution of equipment to support patient care needs.
  • Collaborate with nursing staff clinical teams and biomedical/clinical engineering departments. Ensure all equipment is cleaned disinfected inspected and maintained according to hospital protocols. Monitor equipment utilization to reduce shortages delays and unnecessary equipment rentals.
  • Maintain accurate records using hospital asset tracking systems ERP or CMMS tools. Coordinate preventive maintenance and equipment repairs with biomedical engineering and vendors. Respond to urgent equipment requests impacting patient care operations.
  • Lead train schedule and evaluate a team of Equipment Coordinators and support staff. Provide daily operational direction and performance oversight. Ensure staff follow standardized processes for stocking equipment distribution and code cart management.
  • Support staff development through training coaching and performance management. Promote a culture focused on patient safety accountability and operational excellence. Ensure compliance with healthcare regulations infection control standards and safety policies.
  • Monitor and manage equipment and code cart inventory levels. Manage equipment-related budgets including rentals repairs and replacements. Develop and implement process improvements to enhance equipment availability and operational efficiency.
  • Utilize data to monitor utilization readiness compliance and inventory accuracy. Support hospital readiness for regulatory inspections and accreditation reviews.
  • Minimal Qualifications
    Education
    • High School Diploma or GED required and
    • Associate's degree Health Care Administration preferred or
    Experience
    • 5-7 years experience in healthcare supply chain equipment management or hospital operations required and
    • 1-2 years supervisory or leadership experience required
    Knowledge Skills and Abilities
    • Familiarity with biomedical equipment coordination
    • Knowledge of Lean or process improvement methodologies
    • Ability to collaborate effectively with clinical and non-clinical teams
    • Ability to manage priorities in a fast-paced healthcare environment
    • Strong problem-solving and operational decision-making capabilities
    • Knowledge of medical equipment handling infection control and hospital workflows
    • Experience with asset tracking systems CMMS or ERP platforms
    • Understanding of healthcare regulations and accreditation standards
    • Strong leadership communication and problem-solving skills
    • Ability to work in a fast-paced high-pressure healthcare environment
    • Strong data analysis and reporting skills (Excel dashboards KPIs)

    USD $59,820.00 - USD $101,836.00 /Yr.
