General Summary of Position
The Birth/Death Registrar is responsible for following and complying with hospital, departmental policies and procedures as well as regulatory and accrediting agency requirements for the accurate and timely processing of birth certificates, death certificates, and master patient index.


Primary Duties and Responsibilities

  • VITAL RECORDS - BIRTH CERTIFICATE PROCESS: Records the details of all births, stillbirths, and deaths at MWHC.
  • VITAL RECORDS - BIRTH CERTIFICATE PROCESS: Interviews parents after a baby has been born, completing relevant documentation, and issues an electronic birth certificate as required by Law.
  • VITAL RECORDS - BIRTH CERTIFICATE PROCESS: Verifies information on birth worksheets, MRDI System, Perigen System, and other hospital systems that contain information needed to process birth certificate as per policy and procedure.
  • VITAL RECORDS - BIRTH CERTIFICATE PROCESS: Processes Acknowledgement of Paternity (AOP) and Affidavit for alternate infant surname as appropriate.
  • VITAL RECORDS - BIRTH CERTIFICATE PROCESS: Follows procedures to verify baby's name with various insurance companies for payment.
  • VITAL RECORDS - BIRTH CERTIFICATE PROCESS: Collects statistical information to send to the National Center for Health Statistics (NCHS) thru the District of Columbia Office of Vital Statistics (DOH).
  • VITAL RECORDS - BIRTH CERTIFICATE PROCESS: Maintains a timely Birth Log.
  • VITAL RECORDS - DEATH CERTIFICATE PROCESS: Files an electronic Death Certificate for each death that occurs at MWHC in the District of Columbia as required by Law.
  • VITAL RECORDS - DEATH CERTIFICATE PROCESS: Follows established Policy and Procedures for verifying data to be documented on the Death Certificate.
  • VITAL RECORDS - DEATH CERTIFICATE PROCESS: Obtains physician signature, types the Death Certificate and releases Death Certificate as per policy and procedure.
  • VITAL RECORDS - DEATH CERTIFICATE PROCESS: Maintains complete and timely Death Log.
  • MASTER PATIENT INDEX PROCESS: Complies with policies and procedures in the maintenance and integrity of the Master Patient Index by reviewing duplicate medical record numbers via computer systems and other sources.
  • MASTER PATIENT INDEX PROCESS: Relocates cases from duplicate medical record number on Invision and/or Enterprise Access Directory (EAD) as per policy and procedures.
  • MASTER PATIENT INDEX PROCESS: Merges duplicate medical records numbers as well as paper and computer records as per policy and procedure.
  • MASTER PATIENT INDEX PROCESS: Researches, reviews and manually adds medical record numbers and cases into the EAD.
  • MASTER PATIENT INDEX PROCESS: Reviews EAD error report and correct errors.

    Minimum Qualifications
    Education

    • High School Diploma or GED required

    Experience

    • 2 to 3 years of electronic birth/death certificate experience in a hospital preferred

    Licenses and Certifications

    • Notary License (NOTARY PUB) within 90 Days required

    Knowledge, Skills, and Abilities

    • Knowledge of medical terminology is required.


    This position has a hiring range of $24.542 - $37.244
