General Summary of Position
Responsible for assisting in the coordination of services provided to patients from outpatient registration to discharge and performs a variety of clerical duties essential to the daily operations. Responsible for providing information to, and maintaining relationships with, third party payors thereby enhancing optimal outcomes to the patient, clinical team, employer where applicable, and payor.


Primary Duties and Responsibilities

  • Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation regulations.
  • Completes registration for new patients and patients who have not been seen in last 12 months.
  • Functions as the administrative and insurance point of contact for all clinical providers involved in the patient's treatment; responding to all payor specific questions from patients and providers.
  • Actively manages and coordinates patient care from the beginning of treatment through completion of treatment for assigned patient population.
  • Advocates on the behalf of the patient, clinical provider and insurance provider in order to achieve the anticipated goals and outcomes set by the treating physician.
  • Maintains complete, accurate and organized files.
  • Demonstrates proficiency and understanding of the patient billing system to include: Guarantor Information, Benefit Information, Insurance Information, Insurance Priority, Episode of Care Information, Referral Received, On-line Notes, adding insurance and scheduling appointments as appropriate.
  • Assists in the development and implementation of operational improvements to increase efficiencies and effectiveness.
  • Facilitates coordination and administrative functions for outpatient programs and services.
  • Prepares the registration schedule the night before for all new patients for the next day to include patient's name, provider's name and appointment schedule.
  • Assembles registration forms accurately and in a timely fashion according to established procedures and provide record to clinical provider at the time of the service.
  • Greet patients professionally, assist patients with completing financial forms, review the Patient Information Sheet, explain insurance benefits, witness all financial forms, photocopy insurance cards, obtain physician prescription and/or managed care referral.
  • Reviews physician referrals for completeness and accuracy ensuring the referral includes patient name, diagnosis, type of service, frequency and duration, physician signature, date and auth number is required. Faxes referral to referring physician if information is incomplete.
  • Verifies insurance benefits and secures authorizations for all specialty services.
  • Documents contact and progress with obtaining authorizations.
  • Explains the referral and authorization process, insurance benefits and coverage to patients.
  • Establishes effective communication with: patients, families and external referral sources.
  • Participates in multidisciplinary quality and service improvement teams as appropriate. Participates in meetings, serves on committees and represents the department and hospital/facility in community outreach efforts as appropriate.

    Minimum Qualifications
    Education

    • High School Diploma or GED required.

    Experience

    • 1-2 years Related experience and/or training in a medical office setting with a high volume of patients dealing with registration, billing and insurance, two years preferred

    Knowledge, Skills, and Abilities

    • Must be courteous, caring, cooperative and be able to listen attentively to patients.
    • Process oriented individual who is comfortable with solving problems.
    • Organized and able to multi-task though a variety of clerical duties and be proficient in patient billing systems and be able to operate the scheduling, phone and fax systems.


    This position has a hiring range of $18.33 - $31.61
