Key Responsibilities Operational & Staff Leadership
  • Partner with leadership to oversee daily caregiver operations, including schedule management, timecard review, recruitment support, onboarding, education, and training.
  • Provide direct supervision, direction, and support to caregivers and clerical staff to ensure alignment with organizational goals and standards.
  • Conduct regular rounding with caregivers and providers to promote collaboration, gather feedback, and communicate workflow updates.
Administrative & Clerical Oversight
  • Lead and coordinate all clerical functions, including phone operations, billing processes, appointment scheduling, patient registration, insurance verification, and office supply inventory.
  • Perform routine audits of electronic in-baskets to ensure timely, professional, and compliant communication.
  • Support provider Continuing Medical Education (CME) setup and ongoing monitoring.
Communication & Collaboration
  • Promote a collaborative, team-based culture through clear, consistent, and engaging communication.
  • Communicate effectively both vertically and laterally across departments, ensuring leadership is informed of operational concerns, trends, and opportunities.
  • Support the implementation of ministry-wide initiatives and organizational change efforts.
Patient Experience & Quality
  • Operate as a Patient Care Representative as needed to support office coverage and service excellence.
  • Ensure a consistently high-quality consumer and patient experience by modeling professionalism and service excellence.
Additional Duties
  • Perform other duties as assigned to support departmental and organizational needs.
Minimum Qualifications
  • Experience: Minimum of one (1) year of experience in a healthcare setting and/or in a supervisory or management role.
  • Education: High School Diploma or equivalent, with coursework or experience in clerical or administrative skills.
  • Certification/Registration: None required.

  • Excellent verbal and written communication skills with strong interpersonal abilities.
  • Highly organized with exceptional attention to detail.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).
  • Self-directed, adaptable, and proactive with a positive, solution-oriented mindset.
  • Working knowledge of healthcare regulations, workflows, and best practices.
  • Experience in training, staff development, evaluation, and process improvement.
  • Strong analytical, problem-solving, and decision-making skills.
  • Demonstrated ability to build effective relationships and collaborate across multidisciplinary teams.
  • High emotional intelligence, integrity, and creative thinking abilities.
