Position:  Supply Chain Specialist, Mercy Southeast

 

Department: Materials Management

 

Shift: Full-Time (40Hrs. Week) Days

Overview:

 

Supply Chain Specialist will utilize and demonstrate at an advanced level supply chain software systems to fill, order, stock, distribute, and receive supplies and linen along with assisting with the management of PAR inventories. This position also ensure appropriate supplies/Linens are stocked, delivered, and inventory is adequately stocked in multiple hospital locations. Advanced Technicians will also assist with mentoring and training new coworkers, and at times serve as a liaison in communication between supply chain and clinical/specialty departments and leaders.

 

Job Description:

 

ORDERS SUPPLIES FOR INVENTORY/PARS
Procures correct requested supply(s).
Enters requisition and issues supplies via SC software system to appropriate requesting location.
Has knowledge of all Supply Chain positions and fills in as needed. 
Makes PAR level changes, as necessary.
Processes returns to warehouse.
Monitor inventory levels and pars to ensure adequate levels are available to meet patient care needs.

 

STOCKS/DISTRIBUTES SUPPLIES
Assures correct product/quantity is received for stocking.
Places supply in appropriate bin or par location.
Assures package integrity and sterility (if applicable).
Assures correct patient charging label is on packaging.
Stocks supply specialty carts.
Accurately counts inventory following SOP and tracking of delivery using SC software.
Rotates stock to avoid expired products.
Notifies inventory control when inventory is low to assure order has been placed.
Accurately counts inventory following SOP and tracking of delivery using SC software.
Delivers requested supplies to correct location.
Follows policy/procedure regarding signatures of receiving dept. Co-worker, if applicable.


CUSTOMER SERVICE
Communicates with management, customers and staff.
Ensures co-workers provide excellent customer service.

 

TECHNOLOGY
Possesses advanced computer knowledge and understanding of SC software system.
Demonstrates ability to adapt to new technology, as introduced. Demonstrates proficiency with Microsoft Office software functions, as necessary. Acts as department resource for hardware/software issues. Runs reports and assists with data analysis.

 

SAFETY/RISK MANAGEMENT
Assures co-workers adhere to hospital safety and infection control regulations.
Responsible for ensuring a safe work environment.

 

PRECEPTOR/LEADERSHIP
Assists with training and overseeing new co-workers through orientation/introductory period and annual training for the department.
Conducts huddles, annual training and in-services on all new processes for co-workers.
Acts as a project leader.
Enforces all hospital and departmental policies/procedures and makes recommendations for changes.
Performs daily rounding to meet with co-workers to address supply issues.
Ensures co-workers utilize time in a productive manner to the benefit of Mercy.
In the absence of the supervisor, becomes the 'go-to' person for other department co-workers and customers.
Acts as Expert resource for functions of ordering, stocking, and distributing supplies/equipment.
Makes minor changes to nursing divisions and other department's supply levels along with making recommendations for change.

LINENS

Assures linen is stocked to the designated PAR level as assigned.
Places linen in appropriate closet, exchange cart, or par location.
Assures linen is handled properly to ensure it is clean and safe for patient use.
Assures accurate data is recorded and entered to capture stocking quantities for all areas assigned, as necessary.
Stocks linen blanket warmers if applicable.
Rotates stock to ensure linen is turned regularly.
Identifies linen that does not meet hospital quality standards and handles it per department process. 
Handles soiled linen appropriately per department practices, if applicable.
Notifies department leadership and/or vendor when inventory is low to assure order has been placed.
Delivers requested linen to correct location.
Utilizes software to manage deliveries and pickups performed by TUGs or other robotics, if applicable.
Performs troubleshooting and advanced functions related to the use of TUGs or other robotics including entering service requests with vendor, if applicable.
Orders items managed on PARs via SC software and equipment, as applicable.
Provides direction and oversight of daily work assignments for team as applicable.
Works on projects as assigned
Performs quality checks and completes follow up on department work assignments as needed.
Identifies opportunities for service and process improvement to be reviewed with department Supervisor for trial and/or implementation.

 

EQUIPMENT DISTRIBUTION/PICKUP
Procures requested equipment and distributes to accurate location per SOP.
Picks up equipment following infection control guidelines of hospital.
Cleans equipment per infection prevention guidelines and identifies equipment as ready for use per department policy
Cleans and stages broken equipment for Clinical Engineering pick-up, as needed
Assembles equipment, as necessary.


PERFORMS ADDITIONAL DUTIES FOR SC THAT REQUIRE ADDITIONAL TRAINING ABOVE AND BEYOND PRIMARY RESPONSIBILITIES
Lead projects.
Performs other work duties as assigned


Qualifications:

 

Education:
High School Diploma or equivalent. Completion of Mercy Preceptor course within 6 months of hire. 
Experience:
Demonstrated proficiency in Mercy Supply Chain Technician and/or Advanced Supply Chain Technician competencies, experience in specialty and/or demonstrated leadership, or 2 years direct healthcare supply chain experience. 
Preferred Qualifications
Experience:
Prefer 12 months in Supply Chain Technician or Advanced Supply Chain Technician role. Experience preferred in specialty area.
Certification/Registration:
Preferred Certified Materials and Resource Professional (CMRP), Certified in Planning and Inventory Management (CPIM), or Certified Supply Chain Professional (CSCP)
