The Surgery Scheduler is responsible for coordinating and scheduling surgical procedures for OB/GYN patients, including operative gynecologic procedures requiring anesthesia. This role partners closely with physicians, patients, hospital surgical departments, anesthesia teams, and office staff to ensure timely, accurate, and efficient scheduling while delivering an exceptional patient experience.
The Surgery Scheduler manages the full scheduling lifecycle, including securing surgery dates and times, coordinating operating room availability, obtaining pre-authorizations, preparing surgical packets, and communicating clearly with all involved parties. This position plays a critical role in maximizing provider and facility efficiency while supporting patient comfort, safety, and understanding throughout the surgical process. Position Details:

Schedule: Full Time, Monday through Friday
Location: Mercy South Ob/Gyn
Education: High school graduate or GED.
Other: Ability to read and communicate effectively in English, positive attitude and pleasant disposition necessary. Requires good eyesight and hearing ability to balance numerous simultaneous requests.
Preferred Experience: Previous medical office or previous surgical scheduling experience.
Key Responsibilities
Schedule inpatient and outpatient gynecologic surgical procedures in coordination with physicians, hospitals, and ambulatory surgery centers
Communicate surgery details with patients, including dates, arrival times, pre-op instructions, and required testing
Coordinate with anesthesia departments and facility scheduling teams to ensure appropriate coverage
Prepare and distribute surgical schedules and documentation
Verify patient information, physician orders, and required authorizations or referrals
Maintain accurate records in the electronic medical record and reconcile post-procedure documentation
Identify and resolve scheduling conflicts or changes in a timely and professional manner
Collaborate with clinical and administrative staff to improve scheduling workflows and efficiency
Ensure compliance with office policies, HIPAA regulations, and payer requirements
