At NorthBay Health, this Executive Assistant provides executive level administrative assistance in areas of need as requested, to assigned executives as well as the leaders for their respective areas. Responsible for calendaring, office support, and project support as requested. Displays excellent communication and diplomacy skills, ability to work very independently, handles multiple projects in different subject areas at one time, manages complex calendar events. High attention to detail and the maintains utmost confidentiality due to the nature of the business conducted within the company and the divisions. 

                                                        PRIMARY JOB DUTIES

  1. Provides administrative support to assigned area.

  2. Maintains the calendar for the executives/leaders. Schedules appointments and makes complex meeting arrangements.

  3. Assists with the preparation of meeting materials, ensuring supporting documents are in order, and taking minutes if requested.

  4. Transcribes and prepares correspondence, spreadsheets and/or reports from written, verbal or dictated instructions. 

  5. Uses correct grammatical structure and spelling.

  6. Compiles data as requested; prepares reports.

  7. May support division Joint Commission or other agency agencies.

  8. Responds to customer phone inquiries. 

  9. May coordinate department functions as assigned.

  10. May maintain filing systems in an organized and accessible manner.

  11. Ability to organize, maintain and track progress of requests.

  12. Performs duties in compliance with regulatory and strategic interests. 

  13. Complies with organizational and departmental policies.

  14. Models System values and norms.

  15. Performs other duties as assigned.

 

 



Qualifications

  1. Education: 

  • College level coursework in English or business administration preferred.

  1. Experience: 

  • Five years advanced administrative or executive assistant experience required. 

  • Project management experience preferred. 

  • Experience in large healthcare organizations, knowledge of accreditation standards strongly preferred.

  1. Skills:

  • Must demonstrate excellent written, verbal, and phone communication skills.  Strong English grammar, editing, and punctuation skills required.

  • Advanced proficiency in word processing. 

  • Database, spreadsheet, presentation applications experience.

  • Must demonstrate the highest discipline re: confidentiality.

  • Event planning skills required. 

  • Must demonstrate high attention to detail and accuracy. Ability to effectively multi-task and manage multiple projects on short timelines in a busy office environment. 

  • Requires a high level of comfort with taking initiative and being accountable for team work and service excellence. 

  • Ability to deliver value-added customer service.

  2. Hours of Work: As business needs required, mostly scheduled Monday – Friday, most business hours between 8:00 am and 5:00 pm.  Some nights and week-end.

  3. Compensation: $38 to $47 based on years of experience doing the duties of the role.
