SALARY: $20.73/Hr  (NEGOTIABLE)

POSITION SUMMARY:
Under direct supervision of the Profit Center Director, perform and/or oversee a variety of associated administrative, fiscal, personnel support, and planning activities, some of which require advanced or specialized knowledge and skills, such as budget administration and control, equipment, facilities, and inventory management, specialized recordkeeping, and database management, and/or specified information-gathering projects and tasks. Coordinate and facilitate meetings, program functions, and/or special events, as appropriate.

DUTIES AND RESPONSIBILITIES:

  • Provide administrative support to the Sports Betting, Bingo, and Class II departments.
  • Inform supervisor of recommendations/ideas for improving all areas of this position to include ideas on improving customer service systems, regulations, or activities.
  • Provide excellent customer service for all internal and external customers of the Sports Betting, Bingo, and Class II operations and in all activities. Establish and maintain effective working relationships with all internal and external customers of Oneida Casino. Provide solutions for customer concerns and continually focus on customer service as our top priority.
  • Develop, maintain, and facilitate effective relationships, communications processes and activities with all Gaming personnel and all other internal and external customers.
  • Ensure established procedures, and processes are utilized for maximum understanding and coordination of services are in place.
  • Maintain financial records; process mail in bet slips, accounts payable, purchasing, and prepare and issue receipts for payments.
  •   a. Create and establish purchase orders in the AS400 and OnBase systems.
  • Answer and screen Incoming telephone calls; determine purpose of calls, and forward calls to appropriate personnel or department, ensuring professional telephone etiquette.
  • Screen correspondence: exercise judgment and respond; accordingly, receive, sort, log, and route mail.
  • Welcome visitors, determine nature of business, and announce visitors to appropriate personnel, maintaining professional and courteous demeanor.
  • Arrange travel, prepare, and submit travel-related documents, and maintain travel information as necessary.
  • Prepare correspondence, reports, minutes, agendas, memos, forms, presentations, directories, resolutions, ordinances, and other documents and communications from drafts, recordings, or verbal instruction.
  • Provide department contract processing support including tracking of contracts through the approval process, routing of contracts to appropriate levels of approval when needed, entering contact data into financial system for requisitioning, routing contracts for import into OnBase, and maintaining paper and electronic files.
  • Monitor and track departmental budgets; prepare reports.
  • Participate, prepare and attend meetings and take minutes.
  • Conduct research to resolve operational questions or issues; make recommendations to enhance the efficiency of administrative operations within Sports Betting, Bingo, and Class II.
  • Establish and maintain an effective filing and retrieval system.
  • Maintain inventory of office supplies, gift cards and customer comps.
  • Maintain record and tracking of regulatory documentation.
  • Provide direction clerical guidance for personnel by answering questions, training on office procedures, or reviewing work if needed.
  • Maintain and operate office machines, equipment, and computers. Perform or coordinate general maintenance and repairs.
  • Prepare and communicate system upgrades, packages for shipment and receipt, and provide notification to any regulatory procedures.
  • Contribute to a team effort and accomplish related results.
  • Must be authorized as eligible to operate a Personal and Tribal vehicle under the Oneida Nation's Vehicle Driver Certification and Fleet Management Law prior to actual start date. 
     
MINIMUM QUALIFICATIONS:
  • Must be an Enrolled Member of the Oneida Nation. 
  • Must be eighteen (18) years of age or older.
  • High School Diploma, HSED Diploma or GED Certification; applicants age Fifty (50) and older are exempt from this requirement.
  • Two (2) year of administrative experience.

PREFERRED QUALIFICATIONS:

  • Associate degree in Business, Administration or closely related field.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT: 

  • Work schedule may include key dates, weekends, and holidays as required.
  • Work is generally performed in an office setting with a moderate noise level.
  • Work environment may NOT be smoke, noise, or dust free.
  • A Tuberculosis (TB) Screening and/or a 2 step TB Skin Test is required within thirty (30) days of employment.
