We are looking for a Senior Leave of Absence Administrator to join our Rexel team in Dallas, TX! (Hybrid)

Summary:
Senior Leave of Absence Administrator (Benefits Leave Administrator) is responsible for the end‑to‑end administration of Rexel's leave of absence and accommodation programs in coordination with external vendors. This role researches, analyzes, evaluates, and administers the Company's leave and disability policies, plans, and payments to ensure compliance with all applicable laws and internal policies. Serving as a subject matter expert and primary point of contact, this position provides high‑quality, end‑to‑end support support to employees, managers, and HR to help them navigate leave, disability, and return‑to‑work processes.

What You'll Do:

 

  • Administer Rexel's Leave Management Program in partnership with external vendors, including case intake, eligibility review, designation, reporting, and ongoing case management.
  • Ensure compliance with applicable federal, state, and local laws and regulations (including FMLA, ADA/ADAAA, USERRA, ACA, COBRA, HIPAA, ERISA, and applicable IRS/DOL requirements).
  • Interpret FMLA, non‑FMLA, ADA, military leave, workers' compensation, and state leave laws and advise HR and managers on leave, disability, and accommodation implications.
  • Serve as the primary point of contact for all leave‑related communications, providing clear, empathetic guidance on Rexel's leave policies and disability plans.
  • Coordinate the full leave lifecycle (start, extensions, intermittent leave, and return‑to‑work) and work cross‑functionally with Risk, Payroll, ADP, HRIS, and HR to ensure accurate pay/benefit administration and seamless processes.
  • Maintain accurate documentation of leave and disability cases in HRIS/leave systems and employee benefit files (electronic and hard copy).
  • Process Short‑Term and Long‑Term Disability payments and maintain employee timecards to apply applicable paid time off and prevent overpayments.
  • Support and track the ADA interactive process and workplace accommodations in partnership with the Benefits Manager and HR.
  • Act as a liaison between employees, third‑party leave administrators, disability carriers, and internal stakeholders to track documentation, ensure timely claim determinations, and resolve complex or escalated issues.
  • Determine, collect, and process benefit premium payments for employees on approved leaves of absence.
  • Manage Jira tickets related to leaves and benefits and meet established service‑level agreements.
  • Complete required state and other forms related to leave claims, verification of employment, child support orders, and similar documents.
  • Conduct training and educational sessions for supervisors, managers, and HR on leave, disability, and accommodation practices.
  • Partner with the Benefits Manager to identify, recommend, and implement process improvements, automation, and efficiencies in leave and disability administration.
  • Monitor regulatory and policy changes affecting leave and disability programs and recommend updates to internal practices, procedures, and communications.
  • Maintain the privacy and security of employee personal and health information, escalating concerns when access requests are inappropriate.
  • Provide back‑up support to other areas of Benefits as needed.

Qualifications

What You'll Need

  • 5+ years of experience and/or training in employee benefits and leave of absence administration, preferably in a multi‑state environment.
  • Demonstrated experience managing complex and sensitive leave cases, including overlapping leaves, intermittent leaves, workers' compensation, and ADA accommodations.
  • Professional certification such as CLMS, CPDM, PHR/SPHR, or SHRM‑CP/SHRM‑SCP is a plus.
  • 4 Year / Bachelor's Degree - Preferred

Knowledge, Skills & Abilities

  • In-depth knowledge of FMLA, ADA, Military leave, Workers' Compensation and other applicable federal and state lawsIn‑depth knowledge of FMLA, ADA/ADAAA, military leave, workers' compensation, and other applicable federal and state leave and benefit laws.
  • Understanding of related regulations such as ACA, COBRA, HIPAA, ERISA, and applicable IRS and DOL regulations.
  • Strong computer skills, including HRIS, leave management systems, JIRA, and Microsoft Office (with solid Excel/reporting abilities).
  • Strong attention to detail, organization, and ability to manage a high volume of cases while meeting strict deadlines and service levels.
  • Excellent verbal and written communication skills; able to explain complex policies clearly and with empathy.
  • High level of discretion and professionalism in handling confidential and sensitive information.
  • Proven ability to build effective relationships, influence, and educate managers and employees.
  • Continuous improvement mindset with the ability to identify and implement process enhancements.
