Summary

The Benefits Coordinator supports RNDC's Total Rewards function by managing core benefits administration activities, ensuring legal compliance, and delivering exceptional service to associates. This role is responsible for maintaining accurate benefits data in HR systems, resolving benefit-related inquiries, managing key transactions, and supporting compliance efforts across the organization. The Benefits Coordinator will collaborate closely with internal stakeholders, vendors, and cross-functional teams to ensure consistent, high-quality benefits operations.

In this role, you will
  • Transaction Processing: Process benefit transactions such as enrollments, life events, terminations, and employment status changes in alignment with plan rules, ERISA, and HIPAA requirements.
  • Associate Support: Provide timely and accurate responses to associate and HR inquiries regarding benefit plans, eligibility, and processes using multiple communication channels (email, case management system, phone).
  • System Maintenance & Audits: Maintain and audit benefits data in HR systems (e.g., SuccessFactors, Benefit Focus), ensuring data integrity and supporting ongoing compliance efforts.
  • Regulatory Compliance: Ensure adherence to legal requirements including HIPAA, COBRA, QLEs, and Qualified Medical Child Support Orders (QMCSOs). Maintain confidentiality and privacy of sensitive benefit information.
  • Open Enrollment Support: Support annual open enrollment efforts, including system testing, data auditing, and responding to associate questions to ensure a smooth enrollment process.
  • Wellness Program Administration: Serve as the point of contact for RNDC's wellness program, manage communications, respond to associate inquiries, and conduct routine audits of program data and surcharge reporting.
  • Vendor Support & Error Resolution: Investigate and resolve vendor error reports and discrepancies; collaborate with vendors and internal teams to ensure seamless file integrations and service delivery.
  • Invoice and Finance Coordination: Prepare and submit monthly benefit invoices; collaborate with the Finance team on payment processing, reconciliation, and audit follow-up.
  • Documentation and Process Improvement: Draft and maintain process documents, SOPs, and job aids; identify opportunities to streamline and improve benefits workflows and tools.
  • Reporting and Data Requests: Fulfill requests for benefit verifications, plan data (e.g., Medicare or census), and reporting needs from vendors, internal stakeholders, and compliance audits.
     
What you bring to RNDC
  • Education: Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • Experience: 3-5 years administering employee benefit plans in a corporate environment; experience with benefits billing, reconciliation, and HRIS platforms like SAP SuccessFactors and vendor portals (e.g., Benefit Focus) is preferred. Benefits leave of absence administration.
  • Certifications: Benefits or HR professional certification highly preferred.
  • Regulatory Knowledge: Strong understanding of laws and regulations impacting employee benefit plans (e.g., HIPAA, PHI, QLEs, COBRA).
  • Technical Skills: Proficient in Microsoft Excel, Word, Outlook, and Teams; capable of analyzing data, generating reports, and understanding file feeds and data integrations.
  • Customer Service: Demonstrates strong customer service orientation and clear, professional communication.
  • Organizational Skills: Able to manage multiple priorities, meet deadlines, and maintain strong attention to detail.
  • Collaboration & Judgment: Works independently and as part of a team; exercises sound judgment with confidential information.
  • Work Environment: Hybrid or remote eligible with secure internet access; minimal physical demands aside from typical office tasks.
