Tetra Tech's High Performance Building Division is seeking a detail-oriented and proactive Project Administrative Assistant to join our team. This position will work closely with project managers and the finance and accounting team, performing various administrative tasks, including organizing and coordinating projects and billings, using SharePoint, OneDrive, Teams, Outlook, MS Office Suite, and Oracle ERP.
Your Contributions will Include:
• Data entry, scanning documents, general electronic filing, proofreading documents, formatting, printing, and preparing final documents.
• Support project staff with project logistics, including coordination of meetings, reservation of conference rooms, and facilitating conference calls.
• Assist with project administration.
• Facilitate project administration to include, in part, formatting and modifications to architectural and engineering specifications, meeting minutes, letters, and transmittals.
• Maintain contract and change order documents in project folders.
• Establish projects in ERP system, ensuring accuracy of billing terms, budgets, and client info.
• Generate accurate, timely A/R invoices in accordance with contract terms, client specifications, and Tetra Tech billing policies.
• Monitor outstanding receivables and support PM's with collections.
• Process A/P requisitions and invoices.
• Aid in researching project issues, including unbilled balances and margin erosion.
Required Qualifications:
• High School diploma or GED equivalency required.
• 2 years' experience working in an administrative role.
• 1+ years' previous experience working in A/R and A/P.
• Exceptional written and verbal communication skills.
• Attention to detail along with strong organizational skills.
• Possess an intermediate level, or higher, of proficiency in Microsoft Excel, Word, Outlook, PowerPoint, and Adobe.
• Collaborative attitude, practical interpersonal skills, and self-motivated with the ability to effectively prioritize multiple tasks and project demands.
• Valid driver's license with accompanying safe driving record.
• Must be a U.S. Citizen
Preferred Qualifications
• Previous experience working in government contracting and/or consulting industry
• Experience with Oracle ERP is a plus
This role can be performed from a wide range of locations throughout the US with a preference for the CT and MT time zones. The hourly rate for this position is between $25.50 - $28.00; however, base pay offered may vary depending on primary work location, job-related knowledge, skills, experience and internal parity.
