The opportunity

The Facilities and Operations Coordinator plays a key role in supporting Tetra Tech International Development's corporate and program operations by overseeing onsite facilities management at the Brisbane office and site locations (Pinkenba), providing operational support across the Indo-Pacific region under the direction of the Head of Operations. This role is responsible for managing facilities contractor relationships, lease agreements, and insurance to maintain a safe and compliant work environment. It will also provide surge support to the Travel and Executive Support Coordinator, ensuring seamless collaboration across our operations.

This role is central to maintaining safe, efficient, and compliant facilities while coordinating operational support across multiple programs and geographies.

Your Role:

  • Oversee onsite facilities and office management at the Pinkenba, Brisbane location to ensure a safe and efficient work environment, including managing relationships with facilities contractors and provision of support to the program team.
  • Coordinate logistical support for program events, including visitor management and event planning at Pinkenba, Brisbane.
  • Support internal initiatives, including the intranet platform ‘MyCOZ' and team calendar coordination.
  • Monitor workplace health and safety standards and maintain accurate documentation.
  • Coordinate onshore and offshore lease agreements for Tetra Tech International corporate and program activities, including renewals, compliance, and internal approvals.
  • Coordinate insurance requirements related to facilities and operations across corporate and program activities.
  • Organise and facilitate bi-monthly country operations meetings, including agenda preparation and action item tracking.
  • Identify opportunities to improve operational efficiency and cost-effectiveness.

About You:

You foster collaboration by demonstrating strong attention to detail, resourcefulness and problem-solving skills. Your strong professional background in facilities management and your ability to proactively anticipate needs, handle confidential information with discretion, and adapt flexibly to changing priorities, will set you up for success. You communicate effectively with stakeholders and reliably work both independently and as part of a cross-cultural team.

You will have:

  • Demonstrated experience in facilities management or operations coordination.
  • Knowledge of lease management, contractor coordination, and insurance processes.
  • Experience with procurement processes and financial administration.
  • Sound understanding of workplace health and safety legislation, compliance standards, and best practices.
  • Demonstrated ability to manage multiple priorities, deadlines, and competing demands with excellent organisational and time management skills.
  • Ability to travel to the Pinkenba site location, noting the limited public transport options at the location.
  • Tertiary qualifications in business administration, project management, facilities management or from a related field. Significant experience will be considered in lieu of formal qualification.
  • Facilities management experience in Australia and the Indo-Pacific and/or humanitarian response or international development and/or logistics and supply chain would be highly desirable.
