Your Role:

Looking for a fast-paced job where you get to utilize your strong leadership skills and financial acumen? Join our team as a Senior Billing and Collections Manager to lead our billing and collections department. With your excellent management and organizational skills, you will oversee a team of hard-working billing analysts and support staff that prepare invoices, communicate with clients, and enforce the established collection process.  You will have the opportunity to implement changes and drive efficiencies within the department. Foster team unity as you build relationships, while collaborating closely with your team and fellow managers to continually reach department and company-wide business goals. As the  Senior manager of the department, you must be periodically  available evenings and/or weekends to address issues, especially during the busy season.  This is a dynamic organization that requires the hiring and training of additional staff during surge activities.

Job Responsibilities:

Manage and supervise the billing and collections team

  • Ensure client billing accounts are set up correctly and in accordance with contractual billing requirements.
  • Processing monthly invoices on a timely basis and in accordance with contract terms.
  • Prepare and compile invoices; ensuring the billing package is complete and accurate for submission to clients.
  • Audit and reconcile invoice supporting backup as required (may include labor and non-labor charges)
  • Training and mentoring of staff members in the department.
  • Assess the staffing requirements due to workload surges.
  • Develop Standard Operating Procedures and training materials to  facilitate rapid onboarding/training of staff

 Implement collection policies and procedures

  • Review contract terms and conditions as they relate to billing and collections.
  • Following up with clients for past due amounts and any payment issues or discrepancies.-
  • Setting payment/collection goals and targets for the department.
  • Review outstanding AR balances for any potential write-offs.
  • Communicate with Controller and Sr. Management for quarterly reserve input.
  • Communicate and develop relationships with clients regarding payment schedules and updates.

Additional responsibilities

  • Preparing metrics reports and providing feedback to the billing team, project management, and Sr. management.
  • Analyze standard operating procedures (SOPs) as they relate to Accounts Receivable and identify areas for improvement.
  • Work with the project management teams to track and resolve billing issues as they arise.
  • Prepare billing and collection reports for management.
  • The ability to work well under pressure and to meet deadlines.
  • Must be able to multitask, prioritize commitments, and manage time effectively.
  • Other assigned tasks as required.

Qualifications:

  • This is an in office role. Must be able to work in office. May lead to hybrid schedule. 
  • 10-15 years of accounting or fiscal management experience from working in a consulting, engineering, or construction firm
  • Solid background in Microsoft Office Suite, intermediate knowledge of Excel
  • Knowledge of Oracle a plus
  • Good organizational and time management skills; ability to multitask and prioritize deadlines.
  • Excellent written and verbal communication skills
  • Previous supervisory/management experience
  • Education: 4 year college degree in accounting or finance related field
