POSITION SUMMARY:

The Marketing and Catering Associate plays a vital role in supporting both the catering and marketing teams by coordinating client-facing events and executing brand-aligned promotional strategies. This hybrid position ensures a consistent guest experience from initial inquiry through post-event follow-up, while also enhancing the property's visibility through creative marketing efforts.

It is also the responsibility of the Marketing and Catering Associate not only to exhibit legendary customer service when communicating with clients and customers but also to focus on productivity and results.

POSITION ESSENTIAL FUNCTIONS

  • Collaborate closely with the Director of Catering to support catering clients by handling inquiries, preparing proposals, coordinating tastings, and conducting site tours.

  • Work in partnership with the culinary and banquet teams to ensure seamless communication and flawless event execution.

  • Provide on-site support during events, ensuring guest satisfaction and capturing content (photos, testimonials) for marketing use.

  • Collect and review guest feedback post-event and assist in implementing service improvements.

  • Design and edit marketing materials such as brochures, flyers, signage, and digital graphics to promote catering services and hotel offerings.

  • Manage content calendars and schedule social media posts that highlight upcoming events, behind-the-scenes moments, and client success stories.

  • Monitor social media engagement and respond to comments and reviews under supervision.

  • Assist in maintaining and updating the hotel website with fresh content, imagery, and event highlights.

  • Support catering promotions by aligning them with broader marketing campaigns and seasonal initiatives.

  • Track catering sales activities and marketing KPIs, compiling reports for leadership review.

  • Assist with lead generation and follow-up, maintaining accurate records in CRM systems like Delphi.

  • Prepare and distribute email newsletters and digital proposals to prospective clients and partners.

  • Coordinate logistics for media visits, influencer stays, and community events that showcase the hotel's catering capabilities.

  • Maintain organized digital asset libraries, marketing files, and catering documentation.

  • Track budgets, log expenses, and assist with invoicing for both marketing and catering projects.

  • Take meeting notes, prepare action item summaries, and support cross-departmental communication.

  • Work closely with the Director of Sales and Marketing to brainstorm and implement new initiatives that drive catering revenue and brand awareness.

  • Monitor competitor strategies and suggest enhancements to stay ahead in the market.

  • Build and maintain relationships with vendors, media contacts, and local partners to support both marketing and catering goals.

  • Other duties as assigned.

POSITION REQUIREMENTS

  • Four-year college degree preferred or equivalent experience.

  • A minimum of one to two years of experience, but recent college grads are welcome.

  • Strong knowledge of journalism or communication is preferred.

  • Computer proficient, including knowledge in the following programs: Microsoft Office (Word, Excel, PowerPoint, Outlook), Database, Adobe Acrobat, InDesign (CS6/CC), Illustrator.

  • Knowledge of HTML preferred.

  • Upbeat personality, positive attitude and work well in a team environment.

  • Excellent interpersonal skills - effective verbal and written communication skills.

  • Ability to produce quality work in a fast-paced environment.

  • Ability to manage large workloads.

  • Strong attention to detail - excellent writing, proofreading and editing skills.

  • Ability to maintain discretion regarding personnel and industry-related matters.

  • Must be reliable.

  • Requires some lifting of office-related supplies (up to 25lb.)

  • Travel within the region may be required
