We are seeking a dedicate and personable Payroll Tax Analyst who will be responsible for analyzing and supporting all payroll tax activities, including compliance with local, state, and federal regulations, audits, data validation, interpretation of specifications, and filing of payroll tax returns. This position partners with the Payroll Tax Supervisor and Manager to plan staff activities and to provide training and development of team members.  This role is also responsible for the submission of quarterly/annual returns including W2 and T4 transmission to the appropriate agencies for a multiple-unit organization, timely support of new registrations, and notices, and ensuring payroll tax accuracy in multiple payroll systems and tax software applications. This position will be 100% remote, located near in Pacific or Central Time Zones.

 

Responsibilities/Duties

  • Responds to questions and special requests from employees and regulatory agencies.
  • Document and test new payroll tax laws and regulations and provide management with compliance recommendations.
  • Support reconciliations and analyze large data sets to identify variances and research to solve the root cause.
  • Prepares and assigns tax payments for the team to process.
  • Ensure the timely filing of federal tax payments and estimated payments to the IRS and other state jurisdictions.
  • Support all 50 States, Canadian, and Puerto Rico tax payments and returns.
  • Quarterly completion of 941 forms and annual 940 reconciliation and filings, and monitors federal payments weekly.
  • Partner with the Payroll Tax Supervisor and/or Manager and staff to improve, streamline, and document payroll tax processes.
  • Maintenance of rates, frequencies, and other settings in systems, which include testing of taxes, W2's, and other third-party software.
  • Support timely transmission of W2, W2c, Wage Uploads, and T4's to appropriate agencies.
  • Prepare, file, and amend monthly, quarterly, and annual local, and state withholding, and unemployment returns.
  • Utilize analytical skills to document and resolve outstanding issues, prepare reports and forms necessary for management and external agencies, and maintain the payroll tax team's compliance with SOX audits and controls.
  • Investigate and resolve tax notices promptly to minimize the risk of potential interest and penalties.
  • In-depth knowledge of U.S. government regulations and payroll tax requirements to test and support legislative changes.

Skills/Knowledge/Abilities                                                                                          

  • Intermediate Microsoft Excel skills
  • Proven analytical, planning, problem-solving, and influencing skills
  • Strong process enhancement, training, and documentation experience
  • Ability to participate in multiple complex projects independently and meet deadlines under pressure
  • SQL Queries knowledge with multiple software systems and internet usage is a plus. 
  • Strong written and verbal communication skills
  • Innovation/Renovation-willingness to change and the ability to adapt quickly to changing priorities and assignments
  • Ability to work with minimal supervision. Ability to validate and audit your own work, as well as others

Experience/Education

  • Associate's Degree in Business or related field; or 1+ years high-volume payroll tax experience dealing with large volumes of data; or equivalent combination of education and experience.
  • Knowledge of international taxes, including Canada and Puerto Rico a plus
  • Related experience in a multi-unit, multi-state, multi-system organization a plus

 

The salary for this position is anticipated to range between $55,200 - $69,000 per year. This range is a good-faith estimate, based on the qualifications necessary for the position, including experience, training, and other considerations permitted by law. Factors that may be used when making an offer may include a candidate's skills, experience, and geographic location, the expected quality and quantity of work, and internal pay alignment, as needed. An employee's pay history will not be a contributing factor where prohibited by local law.
