Department Marketing Statement

Housing, Dining & Auxiliary Enterprises houses 10,000 students, faculty and family residents on campus, provides support services for 9,300 students residing in the communities adjacent to the campus, serves 21,000 customers daily in its retail and board dining programs, manages the UCSB Campus Store and University Center, hosts 150,000 guests annually for conferences and meetings, manages a major events center (Events Center), and oversees the administration of transportation, parking and fleet services. Additional responsibilities in the HDAE portfolio include Administrative & Residential Information Technology (ARIT) and The Club & Guest House. HDAE employs 600 full-time employees and 1,800 student employees. HDAE maintains a physical plant of more than 3 million square feet of buildings and 250 acres of grounds and landscaping.

Brief Summary of Job Duties

Under the direction of the Production Manager, responsible for the receiving, invoicing, inventory, product quality assurance, storage maintenance and food and supplies distribution for the assigned dining unit with annual cost of goods of over $2 million. Processes invoices by tracking and data entry, conducts weekly physical inventory with a value of over $40,000, orders assigned products, using traditional and online systems, maintains and cleans food and supply storage locations. Interacts productively with student office and production staff as vendor representatives. 
 

Required Qualifications

Education:

  • High School Diploma 

Work Experience:

  • Working knowledge in storeroom and inventory practices, procedures used in the receipt, storage, and distribution of merchandise.
  • Intermediate computer application skills.

Preferred Qualifications

Work Experience:

  • 1-3 years knowledge of product receiving, inventory management, ordering and processing invoices. 

 

Special Conditions of Employment 

  • Ability to lift up to 50 pounds and work standing up for up to 8 hours per shift. 
  • Satisfactory conviction history background check.

Job Functions/Percentage of Time/Duties

Invoicing Reconciliation and Payment - 30%

  • Endorses all invoices after ensuring proper receipt and tracks invoices to specified accounts. 
  • Reconciles invoice data in the CBORD inventory management system, checking for bid and pricing accuracy. Evaluates and corrects discrepancies 
  • Prepares and inputs invoices for payment. 
  • Copies and distributes invoices and receiving sheets. Maintains files of invoices for the appropriate timeline.
  • Trains and coordinates workload of student office assistants to maintain accurate files.


 

Receiving and Storage  - 30%

  • Receives food and non-food goods from vendors. Enters the inventory into CBORD and reconciles errors. 
  • Checks quality and ensures Hazard Analysis Critical Control Point standards (HACCP) are met.
  • Troubleshoots delivery problems such as shortages of product, wrong items, or poor quality of goods. Refuses delivery of goods from vendors when necessary. 
  • Stores goods in proper locations, in "ready to use" condition.
  • Rotates and dates stock to ensure FIFO usage.
  • Coordinates the distribution and timing of goods pulled from storage and freezers With the production manager and student storekeepers.
  • Organizes storage and use of leftovers to and from freezers.
  • Keeps storage and receiving facilities clean and in good working condition and within HAACP standards.
  • Maintains an off-campus storage site for all dining units.
  • rains and coordinates workload of 6-8 student storekeeping employees

Inventory Management and Ordering of Goods - 30%

  • Takes separate weekly food and supply inventories for assigned unit. 
  • Enters the inventory into CBORD and reconciles errors. 
  • Maintains and utilizes reorder points from computed inventory to facilitate ordering. 
  • Utilizes network connections to order via reorder points from primary vendors. 
  • Assists Production Manager in researching and ordering small equipment. 
  • Takes and maintains large and small equipment inventories in the unit as required. 
  • Maintains off-site storage facility with approximately $200,000 in supplies and equipment. 
  • Accurately tracks use of items through monthly inventory.

 

Other - 10%

  • Takes separate weekly food and supply inventories for assigned unit. 
  • Enters the inventory into CBORD and reconciles errors. 
  • Cares for and schedules regular maintenance of the vehicle assigned to the dining unit. 
  • Coordinates appropriate vehicle use by unit staff 
  • Greets and cordially interacts with customers, including outside vendor representatives, delivery personnel and UCSB and Dining Services staff.
