Description
The Administrative Assistant II will join the Military and Veteran Center to provide
Administrative support to the Director and the Assistant Director. The Administrative Assistant II must be detail-oriented, meticulous, organized, and have excellent communication skills to ensure accurate record-keeping and dissemination of important information.
Minimum Education and Experience
Bachelor's degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.
Preferred Education and Experience
- Previous experience in higher education is preferred.
Essential Duties and Responsibilities
- Administrative Coordination
- Act as liaison between Military and Veteran Center and other departments campus-wide
- Assure accuracy of data and security of assets & asset management
- Compose routine correspondence
- Coordinate travel arrangements
- Ensuring key events align with budget cycles, audits, and funding allocation periods
- Financial Record Keeping
- Handle administrative duties for the department, and interpret administrative policies
- Maintain department resources and supplies
- Maintain personnel records
- Manage reception area; respond to phone/walk-in/email inquiries
- Managing Appointments
- Payroll/Contract Coordinator – VA Work Study (VA Hours Database)
- Perform monthly financial account reconciliations
- Assist with grant or contract applications
- Prepare meeting minutes
- Prepare purchase orders and other expenditures
- Time and Labor Admin
- Other duties as assigned
Additional Information
Internal candidates will be given preference.
After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
