Description
The Administrative Assistant II provides a wide range of administrative support to the Jonsson School Undergraduate Team. In addition, the Administrative Assistant II will provide reception support, assistance with Jonsson School student organization purchases, support undergraduate scholarship processes, and support travel.
Minimum Education and Experience
Bachelor's degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.
Preferred Education and Experience
Administrative experience in higher education. The desired employee is detail oriented, possesses excellent customer service skills, able to prioritize and complete tasks in a timely manner to meet deadlines and work collaboratively and independently. Experienced in PeopleSoft, eProcurement, Microsoft (Excel, Word, PowerPoint, Outlook, Teams), and Adobe.
Essential Duties and Responsibilities
• Possess strong interpersonal communication skills as well as strong multi-tasking skills
• Demonstrate ability to work as a team member
• Knowledge and understanding of university policies and procedures and campus resources
• Support ECS Undergraduate Team as needed including event support
• Assists with Front Desk support:
o Greet guests;
o assist callers;
o Guide guests
• Supervise student workers covering the front desk
• Jonsson School undergraduate scholarship applications
o data input,
o prepare acceptance letters,
o track recipient paperwork,
o correspond with recipients and
o assist with general scholarship administration
• Assist with ECS Student Organization
o purchase orders,
o event support;
o correspond as needed with student organization leadership
• Document management of student files as needed
• Create Facilities Management work orders
• Post events on calendar
• Support the ECS Undergraduate Team with marketing and social media campaigns
• Maintain office supplies and Copier supplies
• Maintain Conference Room schedule
• Attend professional development events and programs
• Support ECS Undergraduate Team in travel coordination
• Other office duties may be assigned

Remote Notice: After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. May be required to use personal computer and other standard office equipment. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
