Description

The Outreach, Recruitment, and Admissions Coordinator will be responsible for providing meticulous and thorough program management to include support for departmental outreach and recruitment efforts by:

  • Preparing and implementing marketing plans, especially social media related to promoting and targeting potential students and attending recruitment events such as college fairs and campus visits.
  • Evaluating applications and assembling packets for the Admissions Committee's review.
  • Handling and preparing application packages for newly admitted students for on-boarding in the Materials Science and Engineering graduate programs.
  • Working closely with multiple departments, including admissions, marketing, and student services.
  • Providing guidance and support to prospective students.
  • Managing all department events such as colloquiums, special seminars, student seminars and social events.


Minimum Education and Experience

Bachelor's degree in Business or a related field, with 3-5 years of experience directly related to the duties and responsibilities specified; or an equivalent combination of education and experience.



Preferred Education and Experience

  • Bachelor's degree; with at least three years of experience in a coordinator role, or related administrative position.
  • Experience with event management.
  • Experience with social media marketing tools.
  • Experience in higher education settings.
  • An equivalent combination of education and experience may be
    considered.

The Outreach, Recruitment, and Admissions Coordinator must be able to
work independently under the supervision of the Business Manager Lead
demonstrating both initiative and follow-through but must also work
effectively as a team member in support of the mission of the department.

A high degree of independent judgment and decision-making, creativity
and progressive thinking is required. Additionally, the ability to provide
accurate and timely information to students, faculty, and staff regarding
programs, upcoming recruiting and department events, initiatives, and
outcomes is necessary for success.

The incumbent:
  • Must be able to adapt quickly to changing priorities and assignments.
  • Must be able to move event-related materials to and from event sites.
  • Must be able to lift and carry boxes weighing 10 lb. or more.
  • Must be able to move about campus to offices or event sites.


Essential Duties and Responsibilities

40% – Outreach, Recruitment, and Admissions:
  • Support the department's efforts to increase enrollment.
  • Identifies, creates, implements, and facilitates strategic practices to increase applications, enrollment, and improve matriculation rates (admitted students who continue to matriculate).
  • Organizes, attends, and hosts events locally to support recruitment and matriculation goals, both in-person and virtually.
  • Collaborates with appropriate internal UTD teams to lead or support outreach and recruitment activities.
  • Travels to recruitment events
  • Prepares and updates the existing annual outreach and recruitment plans, which help inform any new or existing programs, events, and activities to be implemented during the year.
  • Works closely with the department to develop and plan new program initiatives.
  • Processes and organizes applications for student admissions.
  • Prepares all funding offers, including RA/TA, and internal scholarship offers.
  • Manages applications for the certificate programs.
30% – Communication and Promotion:
  • Serves as primary point of contact for new and incoming students and responds to student inquiries via e-mail and phone; and advises prospective students on admission to the MSE programs.
  • Leads the department to collaborate with the school marketing and communication teams to create and distribute materials such as the Fall Newsletter and the Annual Report, and website updates.
  • Develop and implement social media strategies to promote department programs across various platforms (e.g. Facebook, Instagram, LinkedIn, YouTube).
  • Create engaging and high-quality content, including text, images, videos, and infographics, to share on social media.
  • Monitor social media channels, respond to inquiries, and engage with our online community.
  • Collaborate with the UTD and ECS Marketing and Communications team to align social media efforts with overall marketing goals.
  • Analyze social media metrics and generate reports to measure the effectiveness of campaigns and strategies.
  • Stay updated on the latest social media trends and best practices to ensure our content remains relevant and impactful.
  • Coordinate with faculty, staff, and students to gather content and share success stories related to our programs via social media, newsletters, and annual reports.
20% – Event management:
  • Plan, coordinate, and execute a variety of events, including department colloquia and faculty and student seminars, social gatherings, and student activities.
  • Develop and manage event budgets, ensuring cost-effective use of resources.
  • Coordinate logistics, including venue selection, catering, audio-visual needs, transportation, and accommodations.
  • Create event timelines, agendas, and run-of-show documents.
  • Promote events through various channels, including social media, email campaigns, and campus signage.
  • Oversee event setup, execution, and teardown, ensuring a smooth and successful event experience.
  • Conduct post-event evaluations to gather feedback and identify areas for improvement.
  • Maintain detailed records of event activities, budgets, and outcomes.
10% – Professional Development:
  • Participate in ongoing professional development on campus and online to ensure professional growth, ongoing learning/unlearning, and the application of best practices to recruiting a student population in engineering


Additional Information

Remote Work Notice
A hybrid remote work schedule may be available (currently 1-day remote weekly). The employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required upon employment. Use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be canceled at any time.
