Coordinate office functions and supervise administrative and clerical positions in support of clinic operations. Work on special projects assigned by the Director of Front Office or other Directors in charge of clinic and/or teams at a site. Create and oversee strategic priorities for a centralized administrative department in alignment with WellPower's strategic priorities.</p> <p></p> <p><strong>ESSENTIAL JOB FUNCTIONS:</strong></p> <p></p> <ul> <li> Hire, evaluate, supervise, and assign duties for Front Office Managers.</li> <li> Assist with backup coverage for the Insurance Eligibility Team.</li> <li> Serve as liaison between Directors, Program Managers, and Front Office Managers.</li> <li> Provide for the coordination of multiple clinics and program needs. Perform a variety of administrative duties to ensure the smooth running of the clinics.</li> <li> Organize, compose, and produce memoranda, reports, and other documents for the Directors.</li> <li> Collect program data and maintain database systems; may be required to sort, provide basic analysis, and report data for internal and/or external usage.</li> <li> Compose minutes at designated meetings; prepare and distribute as appropriate.</li> <li> Coordinate and facilitate administrative staff meetings, team meetings, and training.</li> <li> Input and extract data from the appointment scheduling system for reporting purposes.</li> <li> Coordinate and assist in planning events that contribute to the Wellness Culture.</li> <li> Assist in new staff orientation, training, and office arrangements when Front Office Managers are absent</li> <li> Provide support to staff and the people we serve in emergency situations</li> <li> Act as backup for tracking and registration of the Certified Addiction Counselor program</li> <li> Maintain a trauma-informed environment of wellbeing.</li> <li> Become a subject matter expert around the Scheduling Calendar, and work consistently with the Information Systems department to maintain updates and innovations</li> <li> Remain primary contact for neighborhood association needs</li> <li> Coordinate and manage various projects related to front office/revenue cycle management in conjunction with Directors across the entire organization</li> <li> Become a safety leader and work closely with Risk Management to reduce risk to staff and People We Serve</li> <li> Other duties as assigned</li> </ul> <p></p> <p><strong>Required Qualifactions:</strong></p> <ul> <li> Bachelor's degree required</li> <li> Minimum of three years' administrative management experience in health care, human services, or related field.</li> <li> Familiarity working within a behavioral health environment and with vulnerable populations.</li> <li> Proficiency with Microsoft Office Suite and ability to develop proficiency in Electronic Medical Record systems.</li> <li> Ability to manage and direct others in a positive and straightforward manner using effective verbal and written communication.</li> </ul> <p><strong>Typical Physical Mental Demands:</strong></p> <p></p> <p>Requires sitting, standing, bending and reaching. May require lifting up to 50 pounds. Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, the telephone and other office and/or clinical equipment.</p> <p><strong>Working Conditions</strong></p> <p>This is a hybrid position.
