Job Overview:

The Food and Beverage Secretary is responsible for general office duties. The Secretary is expected to perform all duties and responsibilities necessary to meet the goals and objectives of applicable programs. Responsible for scheduling meetings and booking the banquet space as needed.

Duties and Responsibilities:

  • Responsible for the highest level of confidentiality within the department
  • Greet all guests and associates
  • Accountable for the thoroughness and accuracy of departmental records and reports
  • Answer incoming calls, routes calls and take messages as needed
  • Schedules F&B team meetings and advises F&B team members of such meetings;  attends the meetings, to record minutes, which are later typed and distributed throughout the department
  • Acts as a liaison and works with all levels of property staff, to provide general departmental information, as necessary
  • Understands all Food & Beverage Department offerings along with all current and upcoming marketing promotions, business functions & events on property, in order to advise guest and fellow employees of same, whenever possible
  • Act as a resource regarding departmental activities and operations both internally & externally for the F&B department
  • Prepare all check requests on a daily basis
  • Prepare all End-of-Month expense reports for the F&B Management Team when required
  • Work with Senior F&B Management Team members in preparing for monthly Budget Reviews as required
  • Correctly operates the time & attendance system and maintains records accordingly
  • Places F&B food and material orders as needed
  • Assist with F&B food and material inventory as needed
  • Assists with F&B on business arrangements for any special function needs or banquet and/or catering needs for both on or off property when required
  • Assists with F&B business travel arrangements; car transportation, hotel accommodations and air travel for the F&B Management Team when required
  • Acts as the main contact person for locating F&B staff members
  • Produce guest correspondence
  • Orders office supplies, equipment and machinery as needed
  • Maintains adequate office inventory
  • Creates documents in MS Word, Excel and PowerPoint
  • Administers departmental mail
  • Maintains an adequate filing system as required
  • Other duties & responsibilities as assigned

Job Requirements cont'd: (please ensure you meet the listed requirements prior to applying)

  • High School diploma or GED required
  • Must be twenty-one (21) years of age or older
  • One (1) year verifiable related employment experience in a confidential office setting- required
  • Must possess a high level of maturity and the ability to maintain confidentiality
  • Able to effectively work and communicate with other staff members and with the general public
  • Must be able to lift and carry up to 40 lbs.
  • Experience in customer relations or guest services
  • Good writing and verbal communication skills required (skills test will be administered)
  • Must be able to stand and/or walk for entire shift
  • Must be able to work effectively in a fast paced, high volume environment
  • Must be able to operate standard office equipment – phones, computers, etc.
  • Must be able to type 25 words per minute- required
  • Must have working knowledge of Microsoft applications – Outlook, Word, Excel and PowerPoint
  • Must possess and maintain a valid state driver's license is required
  • Willing to travel and participate in training as recommended or required
  • Must have a Tribal Gaming License (or the ability to obtain and maintain a license) as a requirement for this position
  • Must have willingness and ability to work in a smoke/secondary smoke environment
